We are seeking a highly organized, and proactive Executive Assistant to support the executive leaders. This role requires a high level of confidentiality, professionalism, and discretion, along with the ability to manage multiple priorities. The Executive Assistant will serve as a key point of contact for internal and external stakeholders.

Key Responsibilities:

  • Calendar Management: Prioritizing and scheduling meetings.
  • Gatekeeping: Ensuring efficient time management and addressing issues.
  • Preparation for Meetings: Organizing presentations, reports, and documentation.
  • Communication Screening: Handling inquiries and requests.
  • Cross-Departmental Coordination: Managing logistics for joint initiatives.
  • Event Planning: Driving high-impact events.
  • Travel Arrangements: Coordinating travel itineraries and accommodations.
  • Expense Reporting: Handling expense reports and reconciliation.
  • Travel with executives: Coordinating logistics for events.
  • Strategic Projects: Assisting in execution.
  • Data Coordination: Gathering and organizing data and reports.
  • Documentation Maintenance: Keeping organized records.
  • Meeting Coordination: Planning high-level meetings and events.
  • Action Item Follow-Up: Ensuring accountability and alignment.
  • Liaison Role: Fostering relationships and communication.

Qualifications:

  • Bachelor’s degree preferred or equivalent experience.
  • Approximately 15% of international travel is required (international passport).
  • Shown experience (5+ years) in an executive assistant or senior administrative role, supporting C-level executives in a fast-paced environment.
  • Exceptional organizational and time-management skills, with the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office Suite, and familiarity with CRM and project management software.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Experience in handling international travel logistics is required
