Primary Purpose: The Executive Assistant will support the VP, Marketing Analytics, Operations and Transformation and VP, Creative Strategy and Studio by leading day to day activities, calendar scheduling, expenses, invoices and managing special projects. This is a great opportunity for an executive assistant with excellent initiative to be a part of a fast-paced team.
The successful individual will leverage their proficiency in Administration to...• Provide administrative support to two DVPs, including calendar, phone, travel arrangements and expenses.• Coordinate all logistics for meetings led by executive and/or team members including organizing agendas, booking meeting rooms, preparing written materials, managing catering, etc.• Ensure effective flow of meetings and keep manager on time by communicating daily agenda, changes and issues in a timely fashion.• Develop relationships with internal administrative staff to facilitate meeting planning and scheduling.• Ensure deadlines are met, questions are answered, and requests are addressed proactively and promptly. Field inquiries and request from key executives, internal and external partners.• Prepare Travel & Expense reports, reconcile corporate card expenses and uphold company T&E policies; includes coding and processing of all department invoices.• Assist with the execution of department events i.e. team-buildings, lunches, strategy sessions, etc. • Submit requests for new hires, office moves and track the process to completion. • Support the team's administrative needs; i.e. order office supplies.• Participate in special projects as needed.
The accomplished individual will possess...• 5+ years of Executive Assistant or similar experience preferred.• Experience interacting with executives at all levels.• Must be a highly organized, self-starter with ability to handle multiple priorities at once.• Must have strong verbal and written communication skills.• Must be a collaborative, team player with great initiative.• Superior judgment, professionalism, poise, ability to maintain the highest level of confidentiality, and assertiveness. • Excellent ability to maintain composure and effectiveness in a fast paced environment.• Superior follow through skills, detail and customer service oriented.• Must be intuitive, able to anticipate needs and develop options.• Strong technical skills with prior experience using project management software• Demonstrated proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.• Ability to work on a Mac using Photoshop, Adobe, Keynote and/or other
