As the Executive Assistant supporting our executive team, you will provide comprehensive administrative support to nine senior leaders, ensuring smooth and efficient operations within our fast-paced environment. You will play a meaningful role in handling schedules, facilitating communication, and coordinating crucial activities that enable our executives to focus on essential initiatives.

Key Responsibilities:

  • Calendar Management: Proficient in supervising the detailed calendars of several executives, including coordinating meetings, prioritizing tasks, and optimizing time management.
  • Meeting Coordination: Prioritize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Board Meeting Support: Prepare materials and presentations for board meetings. Coordinate board meeting logistics and ensure all vital documentation is distributed to participants.
  • Travel Arrangements: Arrange and lead domestic and international travel itineraries, including booking flights, accommodations, and transportation.
  • Project Support: Assist with small projects and initiatives, providing research, data analysis, and administrative support as needed.
  • Expense Management: Prepare and submit expense reports for the executive team, ensuring accuracy and adherence to company policies.

Qualifications:

  • Experience: Minimum of 5 years of experience as an Executive Assistant, preferably supporting multiple senior executives in a fast-paced environment.
  • Education: A Bachelor's degree in Business Administration, Communications, or a related field is helpful.
  • Skills:
  • Strong interpersonal and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and software tools.
  • Ability to work independently and as part of a team, with an adaptable approach.
  • High level of integrity and discretion.
  • Experience handling critical information while maintaining the highest level of confidentiality
