We are seeking a highly organized, proactive, and detail-oriented Executive Assistant/Office Manager to support two senior executives while also managing office operations and event planning. This hybrid role requires being in the office 3 days a week, ensuring seamless operations and in-person collaboration.

Key Responsibilities:

Executive Support

  • Provide high-level administrative support to two executives, managing their calendars, meetings, and travel arrangements.
  • Act as a gatekeeper, prioritizing and responding to emails, calls, and meeting requests.
  • Prepare reports, presentations, and documents for executive meetings.
  • Take detailed meeting minutes and track follow-up actions.
  • Handle confidential information with professionalism and discretion.

Office Management

  • Oversee daily office operations, ensuring a productive and organized workplace.
  • Manage office supplies, vendors, facilities maintenance and ordering Employee gifts.
  • Serve as the primary point of contact for office-related issues.
  • Ability to lift/carry up to 20lbs.
  • Foster a positive office culture, promoting collaboration and engagement.

Event Planning & Coordination

  • Plan and execute internal company events, including team-building activities and executive offsites.
  • Manage event logistics, budgets, vendor negotiations, and on-site coordination.
  • Organize company-wide meetings and town halls, ensuring seamless execution.

Qualifications

  • 5+ years of experience as an Executive Assistant, Office Manager, or in a similar role, ideally in a fast-paced tech or AdTech environment.
  • Strong organizational and multitasking skills with the ability to prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Tech-savvy with proficiency in Microsoft Office, Google Suite, and project management tools.
  • Experience with managing POs, NetSuite experience a plus.
  • Experience in event planning, from conception to execution.
  • A proactive problem-solver who thrives in a dynamic work environment.

Salary Range: $80-100K
