Hyster-Yale Materials Handling, Inc, a world-class manufacturer of industrial lift trucks, has an outstanding opportunity for an exceptional and talented Executive Assistant I based at our location in Cleveland, OH. In this role, you will play a vital part in managing administrative operations, ensuring seamless workflow, and maintaining effective communication across departments.
**This role requires you to be flexible, dependable, and detail-oriented**
What you will do:
Executive Support & Office Management
-
Provide high-level administrative support, managing schedules, coordinating meetings, and handling confidential correspondence.

Organize board meetings, project reviews, operating reviews, and special assignments from top executives.

Manage and maintain the executive’s calendar, identifying and resolving scheduling conflicts.
Project & Workflow Coordination
-
Track and manage projects to ensure deadlines are met, documentation is complete, and budgets are adhered to.

Organize, prioritize, and process correspondence, reports, presentations, and other key documents.

Facilitate cross-functional collaboration by ensuring key stakeholders are informed and aligned.
Meeting & Travel Coordination

Plan and execute domestic and international travel arrangements, including flights, hotel accommodations, and ground transportation.

Coordinate logistics for executive meetings, including invitations, meeting space, catering, video conferencing, and materials preparation.

Ensure all meetings and events run smoothly, with required participants and resources in place.
Financial & Expense Management

Handle expense reporting, reconciling American Express card transactions, and ensuring timely processing.

Monitor budgets for office supplies, travel expenses, and other administrative costs.
Communication & Liaison

Serve as a key point of contact between the executive’s office and internal/external stakeholders.

Handle incoming calls and correspondence, responding professionally or directing inquiries as needed.

Maintain a high level of confidentiality and discretion when handling sensitive matters.

What you will need:
Education:

Bachelor’s degree preferred (Business Administration or related field).
Experience:
-
5-7 years of experience providing executive-level administrative support.
Skills, Experience & Abilities

Administrative & Organizational Skills: Proven ability to manage calendars, meetings, and workflow for executives in a fast-paced environment.

Technology Proficiency: Strong knowledge of Microsoft Office Suite (Excel, Word, PowerPoint) and ability to quickly learn new systems.

Interpersonal & Relationship Management: Excellent ability to interact with senior leadership, stakeholders, and external partners professionally.
