Executive Assistant

General Purpose of the Job

Under limited supervision from a VP, provides personal and administrative support services such as preparing correspondence in final form, receiving visitors, scheduling meetings, maintaining files and conducting special projects as assigned. Duties require a thorough knowledge of VP's areas of responsibility in order to gather data and prepare reports, answer correspondence, conduct projects and so forth. All work is of a highly confidential nature.

Essential Duties and Responsibilities

  • Considerable administrative responsibilities including but not limited to: calendar management; scheduling of meetings; writing/editing speeches and presentations; travel arrangements; project management; and other administrative/managerial duties as required.
  • Anticipates and prepares materials needed by the supervisor for conferences, correspondence, appointments, meetings, telephone calls, etc.
  • Reads publications, regulations, and directives and takes action or refers those that are important to manager and teammates.
  • Handles a variety of matters involving contact with various departmental staff. Participates in and attends management level meetings and takes minutes, as directed.
  • Receives and screens communications to the VP, including telephone calls and e-mail messages, and independently routes and answers correspondence not requiring VP’s attention.
  • Prepares expense reports to ensure accuracy of all account codes for correct payment of expenses.
  • Acts as a liaison with key/high-level internal and external executives.
  • Communicates new policies and procedures to the department and coordinates the gathering of information as directed, using independent judgment to achieve desired results.
  • Actively involved with business product/corporate projects, requiring implementation and adherence to policies and utilization of our internal applications.
  • Maintains exceptional relationships with internal and external customers with a reputation of organization and responsiveness.
  • May direct and lead the work of others.
  • Requires a wide degree of creativity and latitude

Minimum Qualifications

  • Requires high school diploma, with at least four (4) years of experience in the field or in a related area
  • Strong knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
  • Strong communication skills, both verbal and written; applicant must be able to communicate with executive team, vendors and all company employees.
  • Travel required: 0-5%

Salary/ Wage Range

$29.50 - $43.50 / hour

Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience.
