This exciting role supports the Crew Lead of Digital and Customer and the Chief Operating Officer, who manage teams that are responsible for customer and digital experiences, as well as risk and governance. You will ensure their time is managed effectively by working in partnership with the executive including taking ownership of tasks, as well as actioning and following up on requests on behalf of your executive as required.

We are seeking an experienced (5+ years) EA who is currently supporting multiple managers (or who has done so in the past) and is a multi-tasker master!  CommSec is a sought after employer, with energetic teams that work hard but have fun in doing so.

You will provide executive support to 1 x Crew Lead and 1 x General Manager within CommSec and your responsibilities will be as follows but not limited to:

  • Provide proactive, effective and efficient administrative support to the General Managers
  • Diary management: proactive, efficient time & diary management and maintenance of e-files
  • Inbox management. Monitor inbox, prioritise emails, and assist in the preparation of responses.
  • Document management. Collation of pre reading materials (presentations, meeting papers etc.), assist in the review of papers to ensure any items manager is accountable for are prioritised and actioned in a timely manner.
  • Meeting management: arrange meetings, produce and distribute agenda, action items and associated papers as required and to the timeframes required. Attend meetings, taking minutes and action items as required.
  • Attendance and participation at selected leadership meetings and events.
  • Co-ordinate/arrange travel, appointments, offsites, conferences & functions
  • Establish and maintain strong, effective, strategic and appropriate working relationships within business partners, EAs and other stakeholders.
  • HR Support: assisting with submitting recruitment requests and onboarding.
  • Generating reports, assisting with budgets
  • Provide adhoc administrative support to the wider team

We're interested in hearing from people who have:

  • Previous experience supporting at a senior level as an Executive Assistant
  • Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service.
  • Superior skills in Microsoft Office suite
  • An ability to build relationships easily across the business, are highly personable with excellent communication skills.
  • The ability to manage workflow, priorities, work well under pressure and be flexible
