Position Summary: 

We are looking for a professional and collaborative Executive Administrative Assistant to join our Software R&D team at Dexcom’s San Diego location. In this role, you will support the SVP of Software R&D and the CTO , ensuring smooth and efficient operations. You will also be entrusted with protecting confidential information and handling sensitive matters with the utmost discretion.  

This position requires a highly organized, self-driven individual who can work well in a fast-paced setting and has proactivity in thinking and planning through next steps. The ideal candidate will excel in providing comprehensive administrative support, possess excellent communication skills, demonstrate keen attention to detail, and effectively manage multiple priorities.

Where you come in: 

  • Manage all aspects of executives’ schedules, including coordinating meetings and preparing agendas. Answer questions and handle meeting requests directed to the executive. 

  • Represent the executive by welcoming visitors and directing them to the appropriate area or person Screen all incoming calls, messages, and correspondence. 

  • Manage sensitive information and ensure the confidentiality of all personal and corporate matters. 

  • Arrange corporate travel and meetings by developing itineraries and agendas; book transportation; arrange lodging and meeting accommodations; manage expense reports while adhering to company policies and procedures. 

  • Work with all levels of employees and collaborate closely and effectively with others to coordinate company events. 

  • Arrange company dinners and coordinate offsite team meetings and team-building activities.  

  • Order and deliver catering for breakfast and lunch meetings. 

  • Assist and lead various projects, create meeting agendas and materials, and function as a liaison to all internal and external entities. Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation from others, monitoring progress, problem-solving, and adjusting plans. 

  • Create a Monthly e-newsletter distributed to the entire Software Team (five hundred recipients). 

  • Assist with onboarding new hires that report directly to the executive. 

  • Order and maintain supplies and arrange for equipment maintenance. 

  • Perform other duties as required. 

 

What makes you successful: 

  • In-depth knowledge of company operations. 

  • Proven experience as an Executive Assistant supporting a senior level executive, preferably within a complex organization.   

  • Demonstrated ability to prioritize tasks and effectively manage multiple projects simultaneously  

  • Excellent written, verbal, analytical and people skills and can work with all levels of employees effectively and professionally. 

  • Self-disciplined, motivated, extremely flexible, and dependable. Must demonstrate sound judgment and the ability to make independent decisions. 

  • Strong organizational and planning skills. Must be detail-oriented, accurate, and thorough. 

  • Strong analysis and problem-solving abilities and be proficient in information gathering and monitoring. 

  • Skilled at safeguarding confidential information and managing sensitive matters with the highest level of discretion. 

  • Accessible at various times outside of a typical workday, and possibly weekends, to make changes to travel and schedules. 

  • Available to travel to tradeshows for onsite coordination. 

  • Possess technical and computer expertise (Microsoft Office); possess advanced computer skills along with the ability to train others on system usage.

Travel Required:

  • 5-15%

 

Experience and Education Requirements: 

  •  Typically requires a Bachelor’s degree and a minimum of 5 – 8 years of related experience
