Role Summary
The Executive Assistant provides high-level administrative support to the CEO and Transformation Leader and reports directly to the CEO of Equiniti. This highly visible position directly interacts with internal and external contacts on behalf of the CEO, the Business Transformation Leader, and Group EQ Leadership.
Successful candidates will demonstrate a high degree of professional independence, initiative, self-discipline, adaptability, flexibility, dependability, and accountability.
This role will be on-site.
Core Duties/Responsibilities
The successful candidate will be responsible for the following:
- Provide high-level administrative support and assistance to the CEO and assigned leadership staff
- Proactive manage executive calendars while prioritizing CEO’s and Transformation leader's time efficiently; resolve conflicts quickly
- Organize CEO’s daily flow of work, communications, and meetings that are reflective of the CEO’s priorities
- Timely and professional responsiveness to inquiries and requests with diligent and detailed follow through and tracking beginning to end
- Plan, coordinate, and implement executive-related meeting logistics and gatherings for the CEO
- Meticulously manage travel arrangements and timely expense reporting; strong collaboration with leaders and support teams aligned to the Office of the CEO
- Perform other additional duties as assigned by the executive team.
Skills, Capabilities and Attributes
The successful candidate will demonstrate the following experience, skills, and behaviors:
- At least 5 years of related experience required
- Ability to perform consistently in a high-paced work environment.
- Experience managing complex executive calendars, complex travel, and accurate and timely expense reporting.
- Excellent organizational skills and attention to detail
- Ability to plan, coordinate, facilitate, manage, and execute executive-level meeting support for both remote and in-person meetings including materials, technology, and logistics.
- Excellent verbal and written communication skills and customer service skills in interactions with both internal and external stakeholders
- Proficient time management, ability to prioritize and flex work to align with business operational priorities
- Ability to work proficiently with multiple priorities and deadlines without constant or direct supervision.
- Efficiency in problem solving, tracking actions and outcomes from beginning to end, and project coordination
- Service minded, with a focus on ensuring the highest level of support is offered to your designated stakeholders
- Strong problem solving ability, and be able to identify potential issues and propose solutions
- Strong working knowledge of MS Outlook, PowerPoint, Word and Excel
Compensation: $45/hour to $52/hour
