You can expect to gain experience with event planning, project/vendor/stakeholder management, ROI tracking, and all the tools required to succeed in experience marketing within the SaaS industry.

📎 Project Scope

  • Coordinate with vendors to ensure details are clearly communicated and deadlines for deliverables are met
  • Oversee contracting, procurement, and payment processes both internally and with vendors
  • Responsible for meeting shipping and processing deadlines for event materials and swag giveaways
  • Create and maintain templated event landing page, registration, and attendee communication setup in Splash
  • Implement improvements and best practices for future events based on lessons learned and feedback received
  • Stay on top of trends to help source new venues and types of events that a cutting edge

🔧 Responsibilities

  • Event Planning and Execution: Manage the ins and outs of planning and executing events. From venue selection and budgeting to vendor management and logistics coordination, you'll manage end-to-end execution of our North American events. This includes marketing support including landing page creation, registration flow and promotional assets which you’ll work with our Studio team to create.
  • Project Management: Leverage strong project management skills by overseeing various aspects of event planning. Set goals, create action plans, and ensure tasks are completed within deadlines. Embrace the opportunity of managing multiple projects simultaneously.
  • Performance Management: Track program performance with Salesforce campaigns, create event workbooks for field teams to track attendance, and work with Marketing Operations to ensure results are tracked appropriately.
  • Audience Management: Work with Quantum Metric’s clients, vendors, and partners, honing your audience management skills. From written and verbal communication to negotiation and conflict resolution, you’ll build a network by establishing relationships with event stakeholders. Create audience outreach strategies in partnership with the Director, North American Experience Marketing.
  • Creativity and Problem-Solving: Contribute to brainstorming sessions and develop innovative event concepts, themes, and experiences. Sharpen your creative skills and thrive in finding solutions to problems that arise during event planning and execution.
  • Attention to Detail: You believe that no detail is too small to obsess over. Ensure that every aspect of an event, from decorations to catering and audiovisual setups, is meticulously planned and executed. Master event preparation and quality control.
  • Teamwork and Collaboration: Collaborate closely with cross-functional teammates including but not limited to:
  • Studio: Create promotional materials and event branding.
  • Legal & Finance: Contract management and payment setup/scheduling.
  • Marketing Operations: ROI tracking and list uploads.
  • Sales & Account Management: Attendee targeting and communication.
  • Time Management and Adaptability: Embrace the fast-paced nature of event coordination. Exhibit excellent time management skills and adapt to changing circumstances. Prioritize tasks, tackle unexpected obstacles, and remain flexible in your approach.

💡 Requirements

  • Hubspot/Salesforce/Splash experience preferred
  • Organization: Applicants should have strong organizational skills to manage various tasks, timelines, and resources.
  • Communication: Excellent verbal and written communication skills are crucial to communicate with vendors and team members.
  • Attention to detail: Events often involve numerous small details that need to be handled accurately.
  • Problem-solving: Events can be unpredictable, and issues may arise unexpectedly. Applicants should have strong problem-solving abilities to handle obstacles that may occur during an event.
  • Time management: The ability to prioritize tasks, meet deadlines, and work efficiently under pressure is fundamental.
  • Flexibility: Events often require last-minute changes or adjustments. Applicants must be flexible and adaptable to handle unexpected situations with grace.
  • Compensation: $24.85 - $35.58 per hour for a 6-month contract
