As an Enterprise Support Specialist, you will play a crucial role in supporting our partners’ Vendor Management Systems (VMS). Your primary responsibilities will include worker assignment, timesheet creation, and billing processes to ensure the efficient and effective management of temporary workers supplied to our partners. You will be an integral part of our Partner Relations team, working collaboratively to maintain a seamless workforce management system.
Key Responsibilities
Worker Assignment:
- Collaborate with the Enterprise Ops -US team to understand the partner’s workforce needs and VMS requirements
- Accessing both internal systems and external partner systems to gather pertinent information and data used to assign workers to specific VMS job order
- Ensure accurate and timely worker placements by partner requirements
Timesheet Creation:
- Generate and maintain timesheets for temporary workers either via CSV upload or manually input directly into partner’s VMS
- Verify and reconcile timesheet data to ensure accuracy
- Address any discrepancies or issues related to timesheets promptly.
Billing Process:
- Assist in the billing process by providing accurate payment information to the finance department
- Track and document billing information to facilitate accurate invoicing.
- Address partner inquiries related to billing and resolve any discrepancies.
Quality Assurance:
- Ensure that all data entered into the VMS system is accurate and up to date.
- Implement quality control measures to prevent errors and improve data integrity.
- Participate in regular audits and checks to ensure compliance with partner agreements.
Dispute Handling:
- Serve as the primary point of contact for resolving partner disputes.
- Investigate disputes thoroughly and collaborate with stakeholders for resolution.
Stakeholder Management:
- Establish and maintain positive relationships with vendor partners, and internal stakeholders.
- Understand stakeholder needs and ensure alignment with VMS processes.
Cross-Functional Coordination:
- Collaborate with cross-functional teams to optimize VMS processes and address business needs.
- Communicate effectively with team members for alignment and timely execution of tasks.
- Provide timely updates and reports to internal teams and partners as needed.
- Raise discrepancies, and questions proactively to run the process smoothly
Skills:
- Data Entry: Excellent data entry skills with a strong attention to detail.
- Communication: Effective written and verbal communication skills.
- Teamwork: Ability to collaborate effectively in a team environment.
- Technical Proficiency: Proficiency in Microsoft Office applications, particularly moderate to advanced proficiency in Excel/Google Sheets.
- SQL Knowledge: Familiarity with SQL is advantageous.
- Invoicing/Billing: Experience in creating invoices, running weekly payroll

Qualifications:
- Bachelor's degree required
- Minimum of 1 year of work experience, preferably in Business, Payroll, Revenue ops, VMS, invoicing
- Basic understanding of workforce management and VMS systems is desirable.
- Proficiency in Microsoft Office applications, especially Excel/Google Sheets.
- SQL knowledge is a plus.
