The Employee Experience Lead will provide key administrative support to the Senior Leadership Team (SLT), assist the CEO, and oversee general office management. This role requires a highly organized individual with strong multitasking abilities, attention to detail, and discretion. A proactive mindset with the ability to anticipate needs, solve problems before they arise, and take initiative to improve processes and assist the team effectively is key in this role.

What you’ll do: 

  • Stakeholder Engagement: Maintain proactive and effective communication with customers, the board of directors, and vendors. Your ability to build and nurture these relationships will be vital to ensuring smooth interactions and successful outcomes for various projects and initiatives.
  • Employee Experience Enhancement: Act as a liaison to address employee needs and concerns, ensuring a positive and productive workplace culture. Foster open communication channels and support a collaborative work environment.
  • Office Management: Oversee daily office operations to ensure a smooth and efficient work environment. Manage office supplies, equipment, stocking the kitchen, and maintenance requests, and coordinate with vendors and service providers. Your role will require frequent interactions with vendors to ensure timely delivery and quality of services.
  • Event Planning & Coordination: Plan and execute company events, including Team Weeks and other gatherings. Handle all logistical details such as travel arrangements, venue selection, catering, and on-site coordination. Engage with external vendors and internal stakeholders to ensure events meet company standards and objectives.
  • Support for Senior Leadership: Assist in managing special projects and initiatives for the Senior Leadership Team (SLT). Prepare presentations and materials for board and investor meetings, and assist the CEO with personal tasks including travel bookings and appointments. Effective communication with the board of directors and investors will be crucial for aligning initiatives with strategic goals.
  • Operational Efficiency: Implement and maintain office systems and procedures to enhance efficiency. Manage key CoLab programs such as CoLab Cares, OH&S, and Collaborator of the Week. Regular interaction with various departments and stakeholders will be essential for optimizing operational processes and achieving organizational objectives.

What you’ll need: 

  • Exceptional organizational and multitasking abilities with strong attention to detail and flexibility to adapt to varying tasks.
  • Excellent verbal and written communication skills, with a proven ability to manage sensitive information confidentially and professionally.
  • Experience in travel and event planning preferred, with the capability to work effectively in our St. John’s office daily.
