The Position
This role is required to lead the team of colleagues and contractors responsible for Novo Nordisk's US Commercial Operations and Washington DC offices to ensure a seamless and efficient work environment for our employees with the aim of providing a productive workplace experience. This individual will be responsible for overseeing the day-to-day operations of our office spaces, managing capital construction programs and relationships with external service providers, implementing workplace best practices and working in close collaboration with the training and conference amenities, and security operations.
Relationships
This individual will report to the VP, US Procurement and Operations. This role is responsible for interacting with colleagues and all facilities-related vendors that assist in building operations. There will also be frequent interaction with P&O (HR), Finance, Technology and Executive Team members.
Direct and Indirect reports: Novo Nordisk US Operations workplace employees and 100+ contractors.
Essential Functions

  • Manages and oversees the Facilities function including furniture, maintenance and repairs, at Plainsboro, NJ offices, Washington DC, and Cambridge, MA offices
  • Manages and oversees onsite managed services including Property Management company, janitorial services, landscapers, construction partners, architect and mail room and other affiliated services to maintain and improve the workplace experience
  • Leads the bid process, selection, and management of outsourced service providers
  • Manages and maintains the effective operation of audio/visual equipment in conference rooms, Lakeview Cafeteria, ET offices and the Executive Board Room
  • Oversees the PMO for project THRIVE (Multi-million dollar building renovation)
  • Manages complex facilities and real estate budgets, delivers timely reports on budget requirements to maintain operations
  • Manages the relationship with Broker of Record, partners in negotiating lease terms, moves and relocations
  • Supervises staff of and Workplace Management including, the oversight of building management services, data center HVAC system and vendor, responding to after hour emergency calls, etc.
  • Act as the company expert on improved Office Management/Facilities/Mail
  • Manages vendor performance and identifies areas that can be improved based upon contracted statement of work
  • Provide Facilities related support of the production of large company events and meetings inclusive of audio visual and meeting planning working closely with the Marie Krogh Conference Centre team lead
  • Oversees facilities connections with Novo Affiliates in Boston area and North Carolina locations
  • Proactively researches, analyzes, identifies and implements improved Office Management/Facilities/Mail Room processes that improve customer service, increase productivity, reduce costs, eliminate non-value-added steps, and streamline related functions
  • Manages the service repair contract for both the Marie Krogh Conference Center (40,000 sq.ft. center) as well as the over 120 conference rooms within the 800 Scudders Mill Road site, ET offices and the Executive Board Room


Physical Requirements
Up to 15% domestic, potential for 2X's a year international travel to Denmark.
This role is onsite in Plainsboro, NJ.

Supervisory
Ensure that reporting personnel have individual development plans (IDP), with annual goals and measurements that are consistent with the priorities of the business, and that interim reviews are held so that their work is focused on those priorities, and they understand their level of accountability for results and the measurement process.
Ensure that the IDP forms include completed learning and aspiration plans and are in place for all reporting personnel to enable the achievement of goals and capability to assume increased levels of responsibility.
Manage the application and communication of all Novo Nordisk policies, procedures, and Novo Nordisk Way.
Qualifications

  • Minimum bachelor's degree in business administration, Facilities Management, or a related field
  • 12 years of experience in facilities management, construction management, office administration, or a similar role, with at least 5 years in a leadership capacity of employees and or managed service providers, union labor a plus
  • Proven track record of managing workplace operations, including facilities management, space planning, office moves, travel coordination, and conference room management
  • Strong interpersonal and communication skills, with the ability to build relationships and collaborate effectively with internal and external stakeholders
  • Demonstrated problem-solving and decision-making abilities, with a focus on continuous improvement and innovation
  • Familiarity with relevant health and safety regulations including construction safety and industry best practices
  • Proficiency in Microsoft Office Suite, reading and drawing building plans workplace management software
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong team leadership abilities, including experience in coaching, mentoring, and performance management
  • Commitment to fostering a positive, inclusive, and productive workplace culture
  • Experience in managing large scale office fit outs and relocations
  • Experience in tendering contracts, contract negotiation and contract management
  • Experience in lease negotiation, lease documentation and managing Landlord and Property Management relationships
  • Experience in managing health & safety management systems
  • Proven ability to build strong and beneficial working relationships with senior managers, business leaders and key stakeholders
  • Ability to identify opportunities for improvement and develop and implement appropriate change
  • Excellent written and verbal communication skills with an ability to effectively communicate with all levels of the business
  • Excellent organizational, planning and delegation skills with the ability to effectively manage available resources to ensure that multiple projects are completed in an efficient manner to a high standard
  • Ability to compile and present concise and informative reports for circulation to senior managers and board members
  • Exceptional customer service skills with confidence in dealing with difficult customers in an effective, friendly and professional manner
  • Awareness of legislation relevant to this role, particularly with regards to leasing, building codes and health and safety requirements
  • High level of commercial acumen including budgeting, financial management, contract negotiation
