POSITION SUMMARY:

The Director, Operations will report directly to the Vice President, Operations. This position will play a critical role within the Operations and Meetings team, collaborating with department leadership and internal stakeholders to ensure timely, collaborative, and cost-effective business administration. The Director, Operations will develop trusted relationships across the organization. In addition, this individual will exercise a high degree of interpretation, judgement and discretion managing complex and broad initiatives. This is a hybrid role based in Bethesda, MD and requires 2-3 days per week in the Bethesda office.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Operations Project Management

  • Supports the Vice President, Operations with strategic initiatives. This includes comprehensively identifying internal needs, facilitating conversations, driving alignment, project management, development and execution of communications, training and change management/ stakeholder engagement plans.

  • Seeks continuous improvements in procedures, systems and processes. Identifies opportunities for broader internal support by the Operations department, including ensuring financial effectiveness and elevating service provided by the department. Emphasizes exceptional customer service.

  • Leads Operations projects by providing guidance, assigning responsibilities and ensuring timely completion of deliverables.

  • Engages in cross-functional initiatives and serves an advocate for both the Operations department and relevant internal stakeholders.

Budgeting and Planning

  • Assists the Vice President, Operations with the administration and planning of Operations and all Operations-related budgets, annual planning and quarterly business reviews. Helps distill complex budgets into relevant narratives for leadership.

  • Reviews all Operations-related spend transactions to ensure financial effectiveness and compliance with budget and organizational policies.

  • Maintains accurate reporting, KPIs, metrics and dashboards, effectively illustrating department progress.

General Operations

  • Supports the Vice President, Operations and department leadership in managing initiatives in areas such as the Foundation’s national real estate footprint, physical security, commercial insurance, meetings, purchasing and procurement.

  • Leads the department’s activities in support of procurement-related initiatives, including Workday.

  • Creates and maintains educational materials and standard operating procedures for stakeholders, including standard operating procedures.

  • Serves as the primary liaison to internal compliance and risk management functions, ensures department compliance with relevant policies.

  • Responsible for engaging with internal communications functions to ensure timely and relevant updates to appropriate audiences.

  • Identifies opportunities to leverage technology to better support operations.

  • Develops and fosters trust-based relationships with internal stakeholders.

  • Provides communication supports as needed to department leadership, including but not limited to drafting memos, emails, meeting materials, presentations, training documents and process maps.

  • Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Bachelor's degree in Business Administration other related disciplines or equivalent work experience.

  • Minimum of 8-10 years of professional work experience.

  • Minimum of 5 years of experience leading projects or a team.

  • Proficiency in Workday Financials preferred.

  • Proficiency in Microsoft Office suite (Excel, Word, PowerPoint, Teams).

  • Excellent written and oral communication skills; ability to communicate effectively with all levels of staff throughout the organization.

  • Excellent time management and organization skills including the ability to handle multiple tasks, prioritize and keep organized to ensure timely and accurate work.

  • Ability to work independently; prioritizes and manages time to meet deadlines.

  • Demonstrated strong analytical, planning, organizational, and presentation skills and abilities, keen attention to detail.

  • Project Management and Change Management experience preferred; certifications highly desired.

REPORTING RELATIONSHIPS:

  • Reports to the Vice President, Operations.

WORKING CONDITIONS:

  • Normal office environment with little exposure to excessive noise, dust, and temperature.

  • No heavy lifting required.

  • Some travel may be required.

The salary range is $141,600.00 to $177,100.00. Specific salary varies based on geographic location and is commensurate with experience.
