Position Summary:

The Data and Gift Processing Coordinator is responsible for supporting the advancement of Bozeman Health Foundation’s mission by managing the Raiser’s Edge/NXT database. Responsibilities include maintaining database standards and best practices, donation gift entry, gift receipting and pledge management, generating reports, mailing lists, prospect research, foundation fund tracking and expenditures related to grants and designated funds. Works in close collaboration with Foundation team members and Bozeman Health team members to provide inspired, best practice, accountable leadership for the successful support of philanthropy.

Minimum Qualifications:

Required

  • Bachelor’s Degree business, communications, marketing or equivalent job experience
  • Two to four years data management experience in a non-profit setting using Raisers Edge and Raisers Edge NXT or equivalent database system.

Preferred

  • Experience in financial reporting, constituent relations, gift entry and database management.

Essential Job Functions:

In addition to the essential functions of the job listed below, employees must have on-time completion of all required education as assigned per DNV requirements, Bozeman Health policy, and other registry requirements.

  • Maintain and manage the Foundation database including donor files, gift documentation, pledge reports and reminders, donor recognition preferences, contributions and contributors, address update processes, email finder process and more.
  • Assist team members with special data requests, mailing lists and reports, invitation lists, donor segmentations, campaign or fundraising appeal reports as needed.
  • Post all contributions in fundraising and donor management software and provide prompt acknowledgement for donors and family members.
  • Oversee and train foundation staff in standard processes related to the database including: dashboards, donor record entry for their proposals, contact reports, grant awards and more.
  • Support standard reporting requirements including monthly reconciliation, quarterly and annually, for events, campaigns, recognition walls, and other requirements as needed.
  • Conduct wealth screening and prospect research to identify potential supporters and appropriate next steps.
  • Record and administer processes related to memorial, honorary, and in-kind gifts including documentation and acknowledgement.
  • Communicate with department managers regarding charitable fund balances while facilitating and supporting their efforts to deploy philanthropic resources according to donor designations, tracking and reporting on all grant expenditures in coordination with departments.
  • Serve as liaison for the annual audit, support reporting requirements for annual 990 filing, and other fiduciary matters as needed.
  • Maintain database standard operating manual.
  • Develop strong relationships with Health System team members in support of the foundation’s mission.
  • Assist with projects and tasks as needed the support the entire team.
  • Leads, teaches, inspires, helps, and consistently demonstrates hospital behavioral standards, data and donor privacy.

Physical Requirements

  • Lifting, Pushing, and Pulling: Lift 30 pounds of weight (pick up supplies, move equipment, etc.) Carry equipment/supplies.
  • Extended Hours: The role may involve working for extended periods, requiring sitting, walking, or standing for eight or more hours daily.
  • Flexible Schedule: The position may necessitate working beyond a standard 40-hour workweek, including weekends and after-hours shifts
  • On-Call Availability: On-call work may be required to respond promptly to organizational, patient, or employee needs
  • Effective Communication: Proficient in effective communication, both in person and through various technologies
  • Handling Challenging Situations: The role may involve dealing with upset individuals, requiring the ability to de-escalate situations and work effectively with frustrated patients, families, or employees
  • Repetitive Tasks: Ability to perform repetitive tasks as needed to fulfill job responsibilities
