WHAT YOU'LL DO:
The Correspondence Supervisor will assist with the delegation of work in the Correspondence Department. The Supervisor is responsible for all associate scheduling, coaching, development, and training for Correspondence Associates on the operations floor.
- Read incoming correspondence to determine disposition and needed actions.
- Prepare business correspondence, as needed.
- Ensure the office is adequately stocked with mail supplies and all supplies which are necessary for the function of the Correspondence Department.
- Aid in handling disciplinary actions and personnel matters for the department.
- Prepare periodic reports for Management, as requested.
- Respond to questions or inquiries from Correspondence Associates.
- Maintain detailed records of Correspondence activities.
- Prepare department reports at the request of Leadership.
- Update and maintain policies and procedures for department, ensure that Correspondence Associates are trained in implemented and standing policies and procedures.
- Coach and train Correspondence Associates to achieve goals and set expectations.
- Provide feedback to Correspondence Associates as needed to manage and improve performance.
- Work closely with internal departments to resolve inquiries.
- Act as of the main point of contact for internal and external departments with regards to inquiries for the Correspondence Department.
- Ensure timely responses are garnered for internal and external departments.
- Communicate all Company and job-related information to staff members and the executive teams.
- Continuously improve through feedback.
- Assist other departments with additional duties and incoming overflow calls.
- Attend training and department meetings.
- Follow all policies and procedures for the department and Company, including personnel policies and expectations as outlined in the Employee Handbook.
- Other duties as assigned.
WHAT YOU'LL NEED:
- High school diploma or GED required.
- Minimum 2 years of experience preferred.
- Phone system and CRM experience preferred.
- Computer literacy.
- Typing 45 plus words per minute.
- Highly motivated.
- Knowledgeable of MS Office products.
- Customer focus, optimizes work processes, collaborates, communicates effectively, instills trust, situational adaptability, and self-development.
