What You’ll Do

Reporting to a People & Culture Business Partner, the Coordinator ensures smooth operations of the Business Partnering and Talent Acquisition functions for the US-based team. In addition to providing general support, the Coordinator will also be accountable for several key programs that promote a positive employee experience.

What you’ll be working on:

People & Culture Business Partnering Support

  • Providing administrative support that includes preparing documents, managing schedules, recordkeeping, event coordination, and tracking budgets/ expenses.
  • Supporting the P&C annual programs such as the performance feedback process and compensation planning. You will be responsible for calendar and communication, administration, preparing/updating reports ensuring data is accurate and up to date, reviewing materials, and partnering with other People & Culture teams to execute.
  • Managing data in Authentic’s HCM (human capital management) system and other employee platforms, paying particular attention to ways to improve efficiency and increase functionality.
  • Maintaining our job description library in partnership with Talent Acquisition.
  • Reviewing employee files and establishing systems to ensure they are accurate, up-to-date, and well-maintained.
  • Assisting with preparation for and notes from Employee Relations meetings.
  • Supporting projects, as needed, which may include systems implementations, presentations, and new employee programs.

Talent Acquisition & Onboarding

  • Support recruitment by posting jobs, scheduling interviews, greeting/escorting candidates while they are at the office.
  • Partnering with Operations and IT to ensure new hire setup is complete, ensuring all workspace and technology needs are met prior to the employee’s first day.
  • Coordinating and customizing first-week onboarding plans for new senior leaders.
  • Delivering new hire orientation for new joiners at your location, providing an overview of the company, culture, and our ways of working.
  • Maintaining a 60 & 120-day check-in process with all new employees, including enhancements to the questionnaire, data capture, and follow-up.
  • Serving as the liaison for immigration needs, supporting current and pending cases by managing data collection and other process requirements.

Authentic Campus

  • Partnering with Talent Acquisition, to develop and deliver our internship program each season.
  • Managing intern on- and off-boarding including both survey and in-person new hire check-ins and exit meetings.
  • Handling employee relations issues raised by or about our interns.

Employee Engagement

  • Managing the global new hire and exit surveys in CultureAmp, ensuring they are distributed in a timely manner and flagging responses that need Business Partner attention.
  • Monitoring the People & Culture inbox
  • Crafting and distributing US employee email communications regarding holiday closures, P&C events and programs, and other messages.
  • Recommending and developing employee-centric programs and processes to assess and monitor engagement, that reinforce both cultural/CHAMP values elements.

It is expected that the duties of this position will change and evolve as you grow in this role. Other responsibilities may be assigned as you master your role with the People & Culture team.

Must Haves:

  • Bachelor’s degree in human resources, business, or related field preferred.
  • 1-3 years of experience in a support role, or equivalent internship experience.
  • Self-starter with the ability to work independently in a fast-paced environment.
  • Creative problem-solver with sound judgment and critical thinking.
  • Ability to maintain confidentiality and discretion on sensitive matters.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to be detail-oriented without losing sight of the big picture.
  • Ability to drive results and develop a track record for meeting and exceeding goals.


Primary Location Salary Range:

$65,000 - $75,000
