Position Summary

The Conversion Loss Analyst is responsible for processing losses prompted by upgrades, renewals, ownership changes, or new client setup.

Responsibilities

  • Work closely with implementation, project managers, sales, contracting, and client to review contract/NSA, install dates, invoices, all upgrades, renewals, ownership changes, and new clients

  • Maintain revolving client base for assigned territory

  • Contact clients to explain process during install

  • Attend Backlog Meetings and Client Discovery Calls

  • Prepares all client paperwork to ensure billing is correct, credits are issued, deposits are applied & maintains backup in multiple applications (Oracle, CLM, Vision)

  • During Install, act as a liaison between clients and internal CDK departments to ensure all issues are brought to resolution

  • Responsible for Customer Portal Enrollments using "Manage My Invoice" to allow customers to view/export invoices, pay online and, update delivery preferences

  • Process customer initiated cancellations associated with site and full CPU losses, including calculating remaining Contract Obligation balance due.

  • Maintain loss notifications tasks

  • Provides reconciliations per client or controller request. This includes contract versus invoice, invoice last month to current month, and main versus branch billing.

  • Responsible for application of client deposit

  • Subject Matter Expert in Conversion/Loss role and able to provide process improvement recommendations and training to newer associates in role

  • Performs audits on processed Conversions / Losses

  • Keep management informed of all critical issues/accounts & makes recommendations on resolution and ways to prevent future issues

Qualifications

  • High School Diploma or equivalent

  • Minimum 2 years of experience in Collection, Resolution, or Contracting Role or similar work experience

  • Ability to work independently and to adapt to a fast changing environment

  • Clear understanding of QTC (Quote to Cash) Process

  • Strong reconciliation skills to include summarizing balance due and collecting remaining terms per contract

  • Cognos Analytics reporting tool

  • Dealership knowledge

  • Proficient in contracts and invoices reviews

  • Excellent written and verbal communication

  • Excellent time management and organizational skills

  • Extensive knowledge in Microsoft Office

  • Very detail oriented

  • Excellent customer service skills

  • Ability to work in team environment

Preferred Qualifications

  • Some college experience

  • Minimum 4 years of experience in a finance, customer service or collection, or contracting background

  • Knowledge of Oracle ERP system

Hourly Compensation Range: $54,000 - $65,000
