Position Overview

The Contracts Administrator is responsible for supporting day to day operations of contract life-cycle management for international contracting.  This requires the ability to build effective relationships with internal business owners, functional stakeholders, and external vendors along with the ability to partner across the broader finance organization to create efficiency and precision while providing excellent customer service. 

The individual would be available to work on site in our Warsaw, Poland office.

Essential Duties

Include but are not limited to the following:

  • Manage the lifecycle of contracts, from contract request through execution.
  • Act as a liaison for Company’s business teams in all areas of contract management; including, but not limited to, contracting intake, addressing process inquiries, and triaging day-to-day contract life-cycle management questions, escalating as needed.
  • Monitoring the risk assessment and supplier on-boarding processes ensuring completion prior to contract signature.
  • Review contract records for completeness and accuracy.
  • Assist and listen to needs of internal business teams and communicate in a clear, consistent, and positive way, while ensuring a positive experience and the maintaining of efficient operations, escalating to a more senior team member if necessary.
  • Support and govern company’s contracting policy and procedures and must feel comfortable communicating policy guidance.
  • Write contract cover letters, executive summaries, and other communications and notices.
  • Ability to prioritize and balance multiple competing priorities at the same time.
  • Ability to work within a matrix management organization.
  • Excellent communication skills, both verbal and written.
  • Strong project management and organization skills with ability to manage multiple tasks/projects simultaneously while meeting critical deadlines.
  • Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork.
  • Support and comply with the company’s Quality Management System policies and procedures.
  • Maintain regular and reliable attendance.
  • Ability to work designated schedule.
  • Ability and means to travel 10% of working time away from work location, may include overnight/weekend travel.

Minimum Qualifications

  • Associate’s degree in Business Administration, Legal Studies, Communication, or field related to the essential duties of the job.
  • Relevant experience may be considered in lieu of education.
  • Fluency or near-native language skills in English would be required, including in German.
  • 2+ years’ experience guiding business teams through contracting activities.
  • 1+ working knowledge of Coupa or comparable CLM.
  • Demonstrated ability to perform the essential duties of the position with or without an accommodation.
  • Authorization to work in Poland without sponsorship.

Preferred Qualifications

  • German language fluency.
  • Biotech or Life Science industry experience.
  • Experience in working with Category Management and/or legal teams.
