Position Summary:
The Baldwin Group is seeking a contracts administrator to provide support to Baldwin’s enterprise lifecycle management system and processes. This individual will work closely with our Deputy General Counsel and others on our legal team on a broad range of strategic legal initiatives, with a heavy focus on utilization of Baldwin’s contracts management system, including associated processes and policies. Various administrative duties supporting the legal team will also be included in this position.
Principal Responsibilities

Manage Baldwin’s contract management system (CMS), including administration of new user requests and permissions, new user training, legal entity/organizational updates and other back-end processes

Provide administration to all types of contracts (inbound, outbound, partnership, carrier, sub-producer and more), including uploading, tagging and filing the same in Baldwin’s contract management system

Manage NDA contract requests submitted to AskLegal mailbox or thorough Smartsheet/CMS contract request integration

Provide reporting and existing filed contracts from CMS as requested

Coordinate with Baldwin’s leadership teams on new processes related to carrier contracts

Manage Baldwin’s Contracts mailbox
Administrative Responsibilities

Manage AskLegal mailbox/FreshDesk ticketing system – triage tickets to appropriate legal team member as indicated by subject matter and maintain tracker

Manage customer data erasure request processes

Assist with legal due diligence and compliance activities

Assist with legal operations activities

Assist with corporate governance matters generally, with appropriate supervision from legal team

Perform ad hoc tasks within the legal department
Education, Experience, Skills and Abilities Requirements

BA or BS degree
-
2-4 years of experience working in a corporate environment, or a high aptitude for administrative activities generally

Excellent verbal and written communication skills

Exceptional problem-solving, organizational and analytical skills and demonstrated attention to detail

Demonstrates the organization’s core values, exuding behavior that is aligned with Baldwin’s culture

Ability to work independently with minimal oversight/escalation, and to transition to team dynamics seamlessly

Experience with or aptitude for software programs including Baldwin’s Contract Management System, Smartsheet, ShareFile and FreshDesk ticketing system
