Job Scope:
Responsible for establishing an infrastructure of processes and procedures for Sales Contracting, supporting the Sales Organization: Business Development, Client Success and Channel Partnerships. This includes oversight of the contract process from initial Sales request to signature execution to filing under client records.
Primary Job Responsibilities:
1) Contract Preparation and Review:
• Oversee Sales request process for new agreements.
• Ensure adherence to tracking all approved changes via Salesforce cases.
• Manager Salesforce cases to meet turnaround times.
• Draft, review, and modify various agreement requests.
• Draft, review and maintain clause library in collaboration with Legal department and Centers of Excellence (i.e., standard program descriptions, varying levels of support, etc.)
• Review current client agreements during drafting process to ensure future amendments will follow accurately.
• Collaborate with Sales, Executive Leadership and Legal teams to gather necessary information and approvals to facilitate the drafting process and to ensure contracts adhere to company policies and legal requirements.
• Help manage Finance recommended guidelines for standard contract terms and escalate exceptions to Director of Sales Enablement for resolution.
2) DocuSign Facilitation and Contract Execution:
• Function as the primary point of contact for DocuSign-related inquiries, support and facilitation of both client and Health Advocate signatures.
• Ensure the timely and accurate preparation of contracts for electronic signature through DocuSign.
• Facilitate the flow of contracts through the DocuSign process, ensuring all necessary parties provide their electronic signatures in a timely manner.
• Track contract deliverables and milestones for timely execution.
3) Contract Record Maintenance:
• Maintain a well-organized and up-to-date contract repository within the DocuSign platform, including all related documentation.
• Generate reports and summaries using DocuSign data as needed to provide insights on contract status.
• Salesforce contract case creation to track number of cases for dashboard tracking, approvals, services, rates etc.
• Responsible for leading projects and assigning tasks to ensure accordance with client and internal deadlines (i.e., custom Marketing material requests, special program installations)
• Track non-standard contract renewal terms and inform Client Success of key upcoming dates.
• Consult with Finance, Legal and Data & Analytics departments to maintain up to date renewal date information on individual services and overall relationships.
4) Process Improvement:
• Keep contract templates and service exhibits up to date with company changes to maintain accurate contracting language.
• Contribute to the overall enhancement of contract management processes and DocuSign workflows to streamline operations and improve efficiency.
• Establish a more robust tracking system to better capture Performance Guarantees
5) Cross-Functional Collaboration:
• Work with other teams to review existing agreements so they can communicate to external parties about their existing contract terms and conditions, service offerings etc. (i.e., Terminations, Changes and Account Management Teams).
• Liaison between Sales and Legal Departments, directing inquiries and facilitating communication to ensure efficient handling of contract-related matters.
MINIMUM QUALIFICATIONS
Applicants should meet the following minimum qualifications.
Education
• Bachelor’s degree from an accredited college or university with major coursework in business, marketing, communication, healthcare, or a related area is required. Equivalent work experience may be substituted for educational requirements.
Experience
• Minimum 5 years of experience in sales support, customer service, administrative support, marketing, data entry, operations, or a related area is required.
• Minimum 3 years of experience with contract preparation and creation
Other
• Intermediate knowledge of Office suite, including DocuSign CLM, MS Word, Excel, and PowerPoint
• Minimum of two-year experience utilizing a customer relationship management tool (e.g., Salesforce.com) is required.
 

Salary and Benefits:

Annual salary starting at $70,000.
