Job Description
We are seeking a highly organized and detail-oriented Contract Administrator to join our team in Lachen, Switzerland. Under the direction of the Supervisor of Contract Administration and in close cooperation with Finance and Administration staff as well as Service Sales Engineers, this person manages the administrative, contractual and commercial aspects of field service projects (internal project management), from inquiry to final billing and collection.
Job Responsibilities:
Project Management
- Manage the administrative, contractual, and commercial aspects of field service projects from inquiry to final billing and collection.
- Control contracts from RFQ (request for quotation) to order acknowledgment and invoicing.
- Manage and control major contracts, including organizing purchasing.
- Handle internal selling, briefing field project managers and service engineers prior to site work commencement, and provide commercial, contractual, and administrative assistance during the project.
- Assist service sales in selling major field projects.
Administrative Support
- Provide administrative support to the field service organization.
- Assist the support engineering group in commercially and contractually handling claims.
- Handle all commercial, contractual, and administrative aspects of projects.
Order Management
- Receive and review inquiries for Field Service projects.
- Assist in generating quotations and the selling effort of Service Sales.
- Receive, review, resolve, and acknowledge orders.
- Conduct order coordination meetings with dispatching, support engineering, and finance.
- Organize purchasing and track extras such as working time and materials.
- Manage internal project processes and initiate order amendment requests if not handled by the project manager.
- Monitor progress billing due dates and control finance during invoicing and collection processes.
- Assist support engineering in all commercial, contractual, and administrative aspects relating to warranty claims.
Required Skills and Qualifications
Technical and Contractual Skills
- Contractually and commercially minded and skilled.
- Experience in contract administration, preferably in an international field.
- Technical background and field-oriented experience are advantageous.
Organizational and Interpersonal Skills
- Good organizational ability and self-motivation.
- Flexible and capable of handling a wide variety of tasks.
- Ability to interact and maintain good working relationships with internal and external contacts.
- Proactive attitude.
- Fluency in English and French is required and further languages such as Spanish, Italian and German would be an advantage.
- Selling skills and experience in the technical field are beneficial.
- Must be eligible to reside and work in the EU.
