Responsible to provide concierge service to all guests, clients and colleagues of property during, before and after hours events. Support teammates in covering events and follow up on details of scheduling. Work closely with external vendors to ensure exceptional customer service. Provide guidance and strategic planning skills for internal and external event owners.

May be responsible for one or more of the following:

Manage the venues and events for property. Responsible for making decisions and directing staff under their supervision

Respond in a timely manner to last minute configuration changes and additions. Make decisions and judgment calls to best support each event and the facility

Ensure that requested furniture configuration is set for each individual event order
-
Perform daily walk-through of property to ensure cleanliness and repairs are up to standards
-
Supervise scheduling, planning, and maximum utilization of meeting space. Schedule and use of the space should be maximized through the control and shifting of reservations to alone the most use of the space and to accommodate the clients

Provide daily direction to Catering, A/V Technicians and Conference Attendants. Manage these activities by directing the work and schedules of these staff or vendors

Provide professional and courteous meeting and event planning assistance to internal and external clients. Direct and assist people wanting to use the spaces available with reserving, guidelines for use and vendor support information. Customer service is extremely important. Clients will be addressed and assisted in a courteous and professional manner at all times

Coordinate a myriad of meeting details to ensure successful execution. Work with outside caterers, AV Company’, users and user’s vendors to setup and use meeting and event space. Assist users in using existing room or space equipment and systems

Coordinate and facilitate conference/event reservation requests via phone, email and in-house online reservation system

Set up property tour schedule and hours and give tours to general public

Manage music, content and games in common areas of the property. Purchase/provide access to game equipment and activities. Manage the music system for the property. Select and oversee the system and types of music to be used along with the content displayed of the video wall
Minimum Requirements
-
Bachelor Degree (preferred)
-
2+ years of customer service experience in hospitality or event planning a plus
-
Or any similar combination of education and experience
-
Ability to work a flexible schedule in order to accommodate business needs
-
Demonstrated proficiency with all applicable software packages including word processing, spreadsheets, and database management
-
Proficiency in Microsoft Office Suite
-
Ability to manage multiple tasks
-
Basic knowledge of audiovisual equipment
-
Proven record of providing excellent internal and external customer service
-
Excellent oral and written communication skills
Physical Requirements

Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer

May involve periods of standing, such as operating at a copier/fax/scanner

Involves movement between departments, floors, and properties to facilitate work
-
Involves work such as conducting tours throughout the property/portfolio, usually performed by walking and/or climbing stairs

Regularly required to talk, hear, and use hands and fingers to write and type

Ability to read and understand information and ideas presented orally and in writing

Ability to communicate information and ideas in writing and orally so others will understand

Regularly required to utilize vision abilities, allowing reading of printed material, graphics, computer displays and physical inspection of properties and sites
