Job purpose:
As a Collection Coordinator, you will play a pivotal role in ensuring effective financial management within the organization's accounts department. Your expertise will ensure that customers are billed accurately, and payments are received on time, contributing to the smooth operation of our financial processes.
You will be part of a multi-regional accounting team, responsible for analyzing and recording incoming payments to appropriate accounts, resolving disputes and unapplied cash issues, and monitoring customer accounts to minimize overdue invoices.
Your role will involve close collaboration with internal teams, including Sales, Customer Service, Vistex, and Credit Control, to manage cross-departmental tasks such as deductions, claims, and collections. A strong understanding of billing and customer claims administration will be essential for your success in this role.

Report to: AR Team Leader Collections.
What You'll Do::

  • Monitor and collect accounts receivable by contacting clients via telephone and e-mail
  • Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared
  • Strengthen and grow relationships with clients by communicating with customers regarding past-due accounts
  • Handling customer inquiries regarding billing issues
  • Applying fair credit practices with order release process, assessing the risk as per Credit Policy
  • Close cooperation with sales team and customers service to work on AR results improvement
  • Unapplied cash management, explaining discrepancies, follow up on internal deduction process
  • Taking part in projects within the SSC, Active participation in improving processes, procedures, and standardization within SSC
  • Audit - Knowledge of applicable process documentation and requirements within the procedure.


What You'll Bring:

  • Experience: 4-5 years in a similar role, preferably within an FSSC or non-FSSC environment.
  • Education: University degree in finance, accounting, or a related field (preferred).
  • Skills:
    • Strong understanding of finance, accounting, and bookkeeping principles.
    • Proficiency in SAP, High Radius system, all modules - Collection, DMS, Credit, Cash application and MS Office (Excel, Outlook).
    • Analytical skills, accuracy, and ability to work under pressure.
    • Fluency in Dutch. English and Polish is essential.
    • Exceptional communication, negotiation, and time management skills.
    • Autonomy in action, good time management.
    • Focus on AR results and KPIs with a proactive and goal-oriented approach.
    • Teamwork, adaptability, and a positive attitude in the face of challenges.
    • Strong customer orientation, good communication skills.
    • Ability to respond quickly and professionally in difficult situations.
