This position is active in supporting and executing job functions in all phases of the mediation process. This entails assisting and supporting the solicitation efforts for parties to mediate, mediator selection, mediation scheduling/securing location, mediation administration, and mediation case disposition.
This is skilled administrative work in which incumbents are proficient in their assigned roles; are able to independently prioritize their work; are able to handle routine matters independently and complex matters under close supervision; and are able to work under close supervision generally.

Essential Job Functions:

  • Generates, mails and/or publishes memos to the ODR Portal, as instructed.
  • Maintains electronic and physical files in accordance with established procedures.  Files and/or scans correspondence promptly and prepares files for storage if needed.
  • Processes incoming emails and faxes from central inbox and case management system, with response to parties that indicate an interest to mediate through the ODR Portal, and enter PUAMs (Party Unilaterally Agrees to Mediate) as necessary.
  • Periodically generates mediation promotional/info packets to parties as instructed by Mediation Administrator (MA). Provides support with marketing campaigns and special programs such as Settlement Month.
  • Answers general questions from parties and mediators.  Answers more complex questions with limited assistance.
  • Opens mediation cases in MATRICS and assess mediation filing fees as instructed by MA.
  • Generates mediator lists as instructed and receives lists of mediators from parties, and consolidates lists as necessary.
  • Contacts selected mediator to serve on cases.
  • Performs internet searches on active mediators and processes mediator disclosure updates when needed. 
  • Coordinates, schedules, and notifies parties and mediators in writing of the date and time of conference calls and sessions.
  • Coordinates and schedules telephonic conferences with service provider.
  • Reviews and processes incoming Mediation Submission Agreements, with limited assistance.
  • Processes requests to postpone mediation sessions and reschedules sessions, as necessary.
  • Inputs clearly written case notes and session dates into case processing system.
  • At the request of parties helps secure and reserve locations for off-site sessions. 
  • Processes Mediation Fee Verification Form and review mediator expense reports for submission to Finance in preparation for closing the case.
  • Reviews vendor/hotel invoices for submission to Finance Department, as needed.
  • Monitors mediation ready list to ensure all cases are current on docket.
  • Cross-trained on Case Specialist job functions, as needed.
  • Trains and provides guidance to staff as needed on issues of general to moderate complexity.

Other Responsibilities:

  • Additional duties as required by management, including presentations.

Education/Experience Requirements:

  • High School and 4 years of related experience or equivalent combination of education and experience.  Bachelor's degree preferred.
  • Expertise using a desktop computer with the full suite of electronic office applications and other office equipment. 
  • Excellent organizational ability, interpersonal skills, and written and verbal communications skills.
  • Preferably have experience and is skilled in providing quality customer service.

Working Conditions:

  • Work is normally performed during a 40 hour work-week.
  • FINRA enjoys a hybrid work model, 2 days per week are spent in the office.
  • Minimal travel may be required. 
  • Some overtime and /or schedule flexibility may be required.

For work that is performed in CA, CO, HI, MN, VT, IL, Jersey City, NJ, New York City, NY, MA, WA, MD, Washington, DC, NJ State and NY State, please refer to the chart below for the salary range for the corresponding location. In addition to location, actual compensation is based on various factors, including but not limited to, the candidate’s skill set, level of experience, education, and internal peer compensation comparisons.

CA: Minimum Hourly Rate $26.52, Maximum Hourly Rate $48.29

CO/HI/MN/VT*: Minimum Hourly Rate $23.05, Maximum Hourly Rate $40.24

IL*: Minimum Hourly Rate $25.35, Maximum Hourly Rate $44.25

Jersey City, NJ/NYC, NY: Minimum Hourly Rate $27.68, Maximum Hourly Rate $48.29

MA/WA: Minimum Hourly Rate $23.05, Maximum Hourly Rate $46.27

MD/Washington, DC: Minimum Hourly Rate $26.52, Maximum Hourly Rate $46.27

NJ State: Minimum Hourly Rate $25.35, Maximum Hourly Rate $48.29

NY State: Minimum Hourly Rate $23.05, Maximum Hourly Rate $48.29

*Including positions performed outside the state but reporting to an office or manager in that state.

Time Off and Paid Leave*

FINRA encourages its employees to focus on their health and wellness in many ways, including through a generous time-off program of 15 days of paid time off, 5 personal days and 9 sick days, unless otherwise required by law (all pro-rated in the first year). Additionally, we are proud to support our communities by providing two volunteer service days (based on full-time schedule). Other paid leave includes military leave, jury duty leave, bereavement leave, voting and election official leave for federal, state or local primary and general elections, care of a family member leave (available after 90 days of employment); and childbirth and parental leave (available after 90 days of employment). Full-time employees receive nine paid holidays.
