The Position

Position Summary

  • The Business Support role is a critical enabler for Patient Journey Partners (PJPs) in achieving their objectives by providing operational, logistical, and administrative support across multiple functions. This role involves seamless coordination of activities, compliance with internal and external regulations, and ensuring the efficient execution of processes that support customer engagement, promotional activities, material development, and strategic initiatives.
  • The Business Support team member will act as a key interface between various departments to ensure smooth execution of plans, thereby contributing to Roche Bangladesh’s mission of improving patient outcomes and customer satisfaction.

Key Responsibilities

1. Event Management and Execution

Logistics and Approvals:

  • Support PJP/HSPs to Raise ROME approvals, co-ordinate PR/PO processes, and liaise with procurement and vendors to finalize venues, materials, and other logistical requirements for execution of the event
  • Support/prepare agreements, upload them to DocuSign, and ensure compliance with signature and archival processes.

On-Site and Post-Event Activities:

  • Oversee execution logistics, such as participation tracking and content approvals in Veeva.
  • Collect event details, including pictures, attendee lists, and notes, and ensure proper documentation in ROME for closure.

2. Promotional/Educational Material Development

  • Collaborate with PPOCs and local and global graphics design team to develop or adapt materials based on customer journey insights and needs.
  • Ensure all materials are aligned with regulatory and internal guidelines:
  • Prepare drafts, upload to Veeva for approval, and coordinate with the regulatory team  as needed.
  • Handle printing, distribution, and digital content of approved materials for HCP portals and communication channels.
  • Maintain accurate records of material distribution and handle the lifecycle of materials, including termination or updates.

3. Grant, Donation, and Sponsorship Management

  • Facilitate the process for handling grant, donation, or sponsorship requests:
  • Upload requests to ROME, support due diligence, and prepare agreements for approval.
  • Coordinate invoice processing and payment compliance, ensuring all required documentation are archived in ROME.
  • Ensure timely acknowledgment and documentation for closure.

4. International Congress and Travel Coordination

  • Support PJP/HSPs in the end-to-end process of organizing international congress participation:
  • Handle participant approvals, and coordinate travel logistics (e.g., flights, hotels, registration).
  • Ensure all vital documentation is prepared and handed over to participants.
  • Collect post-congress feedback and complete documentation for ROME closure.

5. Operational Support for Strategic Activities

  • Provide logistical and administrative support for cross-functional meetings, global interactions, and internal training sessions whenever required by the line manager. 
  • Act as a liaison for audit-related preparations and compliance activities.

6. Administrative and Compliance Excellence

  • Maintain documentation integrity by archiving all signed agreements, invoices, and supporting materials.
  • Ensure compliance with Roche’s internal systems and policies (e.g., ROME, Veeva, DGDA regulations).
  • Support financial processes, including bill verification and submission for payment.

Skills and Qualifications (Core Competencies)

Organizational Skills: Ability to manage multiple tasks, prioritize efficiently, and meet tight deadlines.

Collaboration and Communication: Strong interpersonal skills to liaise optimally with internal teams, external stakeholders, and cross-functional partners.

Attention to Detail: Ensuring accuracy and compliance in documentation and processes.

Technical Proficiency: Familiarity with platforms like ROME, Veeva, and DocuSign. Proficient in Microsoft Office Suite.

Problem-Solving: Ability to identify challenges, recommend solutions, and implement tasks with minimal supervision.

Preferred Experience

Freshers/Intern can apply, 1-2 years of experience in a support, administrative, or project management role will be an added advantage

Educational Background

Internship/Bachelor’s degree in pharmacy,  business administration, marketing, or a related field. Equivalent work experience may be considered.
