JOB SUMMARY
The Global Resilience Institute at Northeastern University (GRI) seeks a dynamic and experienced Business Manager to support a new DoD research funding initiative as well its overall institute mission in the metro-Boston area, nationally, and internationally.
The Business Manager is charged with ensuring the compliance and effective administrative operations for the financial, human resources, and general administrative function of the institute under direction of the Director of Finance and Administration. He/She will direct and coordinate the business operations for the institute in relation to students, faculty, staff, advisory board, alumni, vendors, research projects and donors.
This position oversees day-to-day financial operations, supports Research and HR transactions, and serves as a subject matter expert for business processes, policies, and systems.
MINIMUM QUALIFICATIONS
- Deep knowledge of budget management and administration. Knowledge and understanding of university policies and procedures.
- Excellent written and verbal communication skills.
- Excellent computer skills including Windows, Microsoft Office (Word, Excel, PowerPoint and Outlook); Banner; Cognos.
- Knowledge and skills are typically acquired through completion of a Bachelor’s degree and five or more years of administrative experience.
- Experience in an academic or research setting and Master’s degree or higher is preferred.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Administrative Operations (40%)
- At the direction of the Director for Finance and Administration, direct and manage the administrative operations for the institute in relation to faculty, staff, students, advisory board, alumni, donors, research stakeholders.
- Ensure effectiveness of the daily operations of the institute, supports HR and Finance transactions while working alongside NU RES, Provost Office department, Accounting and Finance.
- Help to serve as subject matter expert for business processes, policies, and systems for the institute team.
Budget/Financial (40%)
- Execute a variety of complex financial responsibilities including the tracking of budget activity (research, gift and operational), developing expenditure forecasts, assisting in projections of financial status, and advising the Director of Finance and Administration of possible over- or under-expenditures to ensure sound, accurate fiscal practices, and policies.
- Working alongside NU RES, ensure compliance of research initiative budgets
- Oversee financial aspects of research assistant’s co-op hiring and fellowship appointments at the graduate and undergraduate level.
- Work alongside Principal Investigators, Director of Research, COO, Institute Director, Director of Finance and Administration, and Director of Executive Operations and Special Projects in preparing the budgets and other financial elements for research proposals, government and industry contracts, and advancement gifts to NU RES and Advancement Office.
Supervision and Strategic Planning (20%)
- Help support the mid-year, and annual performance review process and all talent department recruitment activity.
- Help organize and manage all staff/researchers search logistics and scheduling.
- Coordinate with development efforts in conjunction with Director of Finance and Administration
- Manage the execution of other strategic financial initiatives of the institute under the DoD initiative research funding and other federally funded projects (e.g., NOAA, USAID)
- Serve as a key institute POC for staff/researchers to inform operational systems and improvements.
