The Billing Specialist will be responsible for the timely and accurate preparation of invoices, creating and updating reconciliations, and assisting with receivables for a range of projects. The Billing Specialist works closely with internal and external stakeholders, as well as other members of the Accounting team, to answer invoicing questions or manage related issues.

In addition, your role will be to:

  • Complete month-end revenue adjustments, journal entry preparation and provide project reports for project teams.
  • Liaise with project managers and fellow team members on monthly invoice preparation and payment status tracking. 
  • Liaise with project managers to ensure timely and accurate invoicing along with tracking and reporting project spends.
  • Collect and compile data required for invoice generation and confirm all billings are processed correctly.
  • Reconcile and recommend resolutions for report discrepancies and problems.
  • Compile and sort documents, such as invoices and checks and substantiating business transactions.
  • Maintain invoice backup and records to ensure compliance with annual internal and external audits.
  • Assist with project accruals and forecasts in support of project managers.
  • Monitor program financial risks and opportunities and provide detailed analysis of variances to budget, quarterly plan, and month over month variance analysis.
  • Assist with miscellaneous reporting upon request.
  • Develop, maintain and improve tracking metrics.
  • Assist with miscellaneous Accounts Receivable items as they relate to company ERP system.

Qualifications:

  • Bachelor’s Degree in finance, accounting, or a related field is required.
  • Minimum 2 years professional experience invoicing, handling billing issues, completing project analysis, forecasting, accruals, and other reports as needed.
  • Must be able to learn quickly and maintain a high level of accuracy.
  • Must be proactive and have the ability to work independently.
  • Excellent written, verbal and presentation skills with the ability to communicate with various business stakeholders (customers, management, operations, support).
  • Strong problem-solving skills with an inquisitive attention to detail.
  • Strong interpersonal and analytical skills.
  • Strong time management skills.
  • Knowledge of Microsoft Excel.
  • Knowledge of ERP systems, specifically Deltek Vantagepoint is considered an asset.
