Job description
We are seeking a detail-oriented and proactive Billing & Collection Specialist to join our Sales Administration team. In this role, you will be responsible for managing the entire billing cycle and ensuring timely payment collection to maintain a healthy cash flow for our organisation.
Responsibilities

  • Account Records Management: Maintain and update all finance-related client records, ensuring the client portfolio is always accurate and up-to-date.
  • Invoice Generation: Generate and send accurate invoices to customers in a timely manner.
  • Accounts Monitoring: Monitor accounts receivable and identify overdue payments.
  • Collections Outreach: Contact customers to collect outstanding balances and resolve billing discrepancies.
  • Payment Processing: Process incoming payments and update customer accounts accordingly.
  • Discrepancy Resolution: Reconcile billing discrepancies and handle customer inquiries professionally.
  • Record Maintenance: Maintain detailed records of all billing and collection activities.
  • Cross-Department Collaboration: Collaborate with sales, customer service and accounting teams to address billing-related issues.
  • Aging Reports: Prepare and analyze accounts receivable aging reports.
  • Cash Collection Strategies: Implement strategies to improve cash collection and reduce days sales outstanding (DSO).
  • Compliance Assurance: Ensure compliance with financial regulations and company policies.
  • Month-End Closing: Assist in month-end closing procedures related to billing and collections.


Qualifications

  • You have 2+ years of experience in billing, collection, or accounts receivable.
  • You have excellent communication in English and French
  • You have a strong command of Microsoft Excel and experience with CRM and ERP solutions.
  • You have a strong attention to detail and analytical skills.
  • You have a customer-oriented approach with a focus on maintaining positive relationships.
  • You have knowledge of relevant laws and regulations governing billing and collections practices.
