Excellent opportunity for a Associate Project Manager position - remote.
Working as part of the Global Project Management Office (PMO), the Associate Project Manager supports a number of Project Managers (PMs) in all aspects of their work. In this role, the Associate Project Manager will provide internal and external Clients with a central point of contact for projects.
The Associate Project Manager assists the Project Manager and Lead Scientist to manage client and study communication to execute projects against defined milestones, timelines, and financial projections. Independently performs activities related to the project management process by coordinating activities for studies in compliance with appropriate protocol, Standard Operating Procedures (SOPs) and regulatory agency guidelines, in a timely, efficient, and quality manner. This involves use of the appropriate tools to support the successful initiation, planning, execution, monitoring and completion of projects. The individual has a responsibility to work with Project teams to ensure that Client requirements and deadlines are met. As directed by the PM, an Associate Project Manager will assist with study costing, contract requests, financial tracking and reconciliation of projects. In addition, the Associate Project Manager may manage small scale projects in an area of expertise.
The Associate Project Manager will be required to utilize good communication skills to liaise with project teams, departmental management and the Client to ensure effective dissemination of up-to-date project information. Strong interpersonal skills are required as is the ability to negotiate.
The individual will identify and following approval, initiate the introduction of new processes and contribute to development and delivery of internal projects within the PMO. They will also support the day-to-day running of the PMO and publish internal and Client specific KPIs/KRIs.
The post holder will ensure adherence to the SOPs and will be responsible for completion of all relevant documentation.
Essential Job Duties:
Some activities may be taken under the guidance of a Project Manager:
Initiation
* Participates in the on-boarding process of new clients.
* Participates in the Client enquiry / project initiation process. Contribute to the generation of Client specific proposals following the triage process, support associated conference calls and Client visits, focusing on standard projects.
* Understands client and financial services' interactions with the client and processes.
* Reviews project scope for alignment with contract requirements and provides necessary feedback. Where appropriate, supports requests for master service agreements (MSAs), technical / quality agreements and Confidentiality Agreements (CDAs). Ensure the documents are in place in a timely manner for the initiation of the project.
* As applicable, assist in the preparation of timelines to support the quote process in conjunction with Client Services and Operations.
* Request Study Numbers and Project numbers as required for Projects.
Planning
* Acts as the primary point of contact for the project work for internal and potentially some external customers.
* Using the appropriate system, independently manages and coordinates schedules across the department, including lab scheduling and resource management.
* Prepare and maintain contact details information. As needed, prepare, maintain, and circulate project plan.
* Participate in collaborative discussions with client and scientific teams to fully define the project requirements. Ensure these are communicated to the project team.
* During the planning of new projects, with guidance, liaise with Client Services to coordinate the production of contracts, using the appropriate project tool, to ensure that these are in place in a timely manner.
* Set-up, monitor and maintain appropriate tracking for each project. Monitor scheduling concerns and escalate issues as required.
* Participate in, and where appropriate, lead the communication and interaction with the project team, other departments, and clients.
* Participates in and where appropriate, lead project update meetings; assigns and completes actions.
* Escalates and collaborates to remove any barriers to project execution in a timely manner.
* Communicates timeline changes or concerns to internal and external teams in a timely manner.
* Prepares and may lead client conference calls, project meetings, and visits.
* With guidance, works across operational units, other departments, and sub-contractors to achieve overall targeted milestones.
Monitoring and Controlling
* Where applicable, maintains well documented, organized, and up-to-date study files including schedules, protocols, and correspondence.
* Manages workscope changes throughout the study as necessary.
* Collect and collate internal and client metrics / KPI's for report out to internal teams and management. May determine and report client metrics with guidance.
* As appropriate for the project, support the use of an issues log. Assist with the solving of problems by defining issues, providing alternative solutions and ensuring decisions are made and disseminated to the team.
* Identifies and escalates issues as appropriate using the defined escalation process.
* Able to maintain financial projections and revenue recognition information.
* Participates in risk assessment and lessons learned discussions.
Closing
* Follow up with Clients during and after project completion to determine satisfaction levels and to gain insight into ways to improve our service offering. Utilise CAIR process and NPS data to address internal / Client issues.
* Where applicable, assists with managing QA audit timelines and where appropriate delegating actions.
* At the end of a project phase or at close of the project, close out all project tracking tools.
General
* Employ effective general management and interpersonal skills to drive a positive culture and collaboration within internal and client project teams.
* Able to coordinate, schedule, and manage projects locally.
* Responds to unscheduled deadlines, client needs, and crises without neglecting other responsibilities.
* Where the opportunity arises, with guidance, ensure that Clients receive relevant information on Covance service offerings. Where appropriate draw in the subject matter experts / Client Services.
* Understand the role and accountability of the PMO within ED Chemistry Solutions.
* Identifies and participates in process improvement initiatives within the PMO and associated business.
* Assist in collecting and collating information on planning and financial forecasting to the relevant business units.
* An understanding of the processes involved in the production of protocols, SOPs, analytical procedures, working documents, forms, reports, data evaluation and Client/QA audits is required.
* A general understanding of the principals, theories, and concepts of the scientific work that is being supported is required.
* Ensure individual training records are up to date and accurately reflect capabilities.
Experience:
Minimum Required:
* Minimum 2 years industry experience in a relevant field.
* Computing skills, including word processing and use of spreadsheets (e.g. Microsoft Office packages and Microsoft Project).
* The candidate should be able to communicate effectively at all levels with other Labcorp employees, as well as external clients, suppliers, etc.
* Proven ability to prioritize and manage time.

Recommended:
* The candidate will have a relevant degree and/minimum 2 years of relevant Project Management Office experience.
* The ability to get things done by influencing others (both internal and external).
* An up to date knowledge of regulatory guidelines is desirable.
* Knowledge of capabilities and expertise of the Labcorp organization and companies that may provide support services.
* Commercial awareness, interpersonal and negotiating skills.
* Learn and maintain knowledge of process excellence processes, tools and activities.
This is a remote position.

Pay Range: $50,000-$89,000 annually
