JOB OVERVIEW

The position will play a vital role in ensuring the accuracy and integrity of purchase order (PO) data flow across all End2End Operational systems. Your strong sense of ownership will drive data entry, maintenance, validation and quality assurance at all times. Key responsibilities include validating PO and shipping documentation and leading the internal and external stakeholders discussions to correct data discrepancies. Additionally, you will be responsible for building and maintaining reports to track KPI’s such as OTIF, and provide regular updates on system status.

ROLES AND RESPONSIBILITIES

Processes Optimization & Continuous Improvement: Mapping, documenting and optimizing the end-to-end procurement processes flow within the organization following directives of P2P Managers. Proactively Identify process improvement (Continuous Improvement) in Purchasing targeting increase of efficiency and productivity on tasks being performed. Be proactive, innovative and solution driven with absolute goal of delivering first-class, efficient and agile processes while reducing complexity.

• PIR Clarification with Internal customer ie. sourcing product development, demand and supply, and 3rd parties/supplier includes but not limit to goods availability, documents, delivery dates.

• Responsible on shipment complete and execute confirmation of Final Shipping Note in vendor portal, thus inbound delivery to be create in the ordering system S4

• Monitor sufficient data interface between order system and vendor portal (S4 to Infor Nexus)

• Execute over-deliveries notification and Inbound delivery creations, then monitor IBD posted in the systems to enable goods receipt in warehouse

• Manage good receipt of samples and trade goods for all destinations and offices

• Monitor goods movement posted and control manual goods receipt of samples to the headquarter

• Post Invoice for goods receipt and as well coordination with Finance for supplier payment settlement

• Develop and owning reports and evaluation to track shipping documents, goods movement and invoice status to enable P2P process accomplished

• Support Superiors for Purchase related tasks and optimization projects.

Process Flow Monitoring: Monitor and track the status of purchase orders, ensuring they are generated, visible and data-matching between systems at all times. Discrepancy management on PO will be a daily activity which will require agile hands-on data cleansing, as well data coordination and transparency on providing regular status update.

Vendor & PR Data Monitoring: Perform regular validation of Vendor/PIR & PR database with objective to spot inaccuracies before PO’s are handed over to vendors.

Assist on vendor onboarding & performance evaluation preparation, presentation and follow up. 

Support system upgrades, enhancements, UAT, and troubleshooting as needed.

Assist on development and analyse of reports on procurement, supply availability and payment activities while driving resolution of data P2P data discrepancy.

Support in creating, monitoring and validating of Auto Goods in Transit Report

Project Management: Support Leadership to drive the day-to-day development, action plan and cross-functional alignment on Purchasing related projects and initiatives.

Communicate effectively with internal and external stakeholders to resolve issues and ensure alignment.

TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)

• Fluent in English (written and spoken).

• Very good knowledge of PO management

• Proven experience with ERP, ideally with S/4 Hana

• Advanced user for Microsoft Office, especially Excel with capabilities on advanced reporting building and analysis

• Great communication Skills and ability to negotiate

• Strong communication and structural skill set.

• Open Mind and Highly communicative

• Independent and structured way of working with a high focus on results and a "hands-on" mentality

• Enjoy having ownership for your responsibilities but on the same time enjoy Team working.

EDUCATION AND EXPERIENCE

• Education in Business Administration, Supply-Chain Management or Procurement.

• 2+ years experience in PO Management within SAP or similar ERP

• 2+ years experience managing Production, vendor relationship, WIP.

• Previous experience in Textile Industry-Apparel, ideally within similar roles.
