As an Executive Assistant at Webflow, you will serve as a strategic partner to the Chief Executive Officer (CEO) and Chief Financial Office (CFO) ensuring alignment on organizational goals and objectives. This temporary, full-time position, running from March through November is designed for someone who is not only efficient and organized but also passionate about contributing to the strategic success of our leaders and the broader executive team.

The successful candidate will be adept at managing both synchronous and asynchronous communication, maintaining comprehensive documentation, and actively contributing to team culture and engagement in a distributed environment.

  • The cash compensation for this role is tailored to align with the cost of labor in different geographic markets. We've structured the base pay ranges for this role into zones for our geographic markets, and the specific base pay within the range will be determined by the candidate’s geographic location, job-related experience, knowledge, qualifications, and skills.

      • Zone A: $134,000 - $182,500
      • Zone B: $126,000 - $171,500
      • Zone C: $117,000 - $160,500

As an Executive Assistant you’ll … 

  • Calendar & Inbox Management: Strategically, and with timeliness, manage the CEO and CFO’s calendar & inbox, effectively prioritizing high-impact activities and ensuring focus is aligned with organizational goals.  
  • Meeting Coordination: Coordinate and facilitate leadership meetings, strategic planning sessions, and quarterly business reviews. Prepare for and attend synchronous meetings across multiple time zones, drive accountability across the organization by tracking key deliverables, follow-ups, and action items.
  • Project/Event Management: Lead and support a variety of cross-functional special projects that require planning, coordination, and organization, such as team offsite event planning, Board meetings, conference logistics and implementing new programs and processes. Your efforts will directly contribute to the scalability and effectiveness of the executive team.
  • Travel Arrangements: Organize travel for the CEO + CFO, including booking flights, accommodations, and ground transportation, ensuring seamless logistics and minimizing downtime. Simultaneously work closely with finance business partners to manage T&E budget associated with these offsites and events.
  • Information Flow Management: Handle time-sensitive, confidential information with discretion and integrity, and manage information flow within the executive team to enhance decision-making processes.
  • Stakeholder Interaction: Build and maintain relationships with internal and external stakeholders, ensuring effective communication and collaboration, which are crucial to the success of Webflow.

About you:

  • Experience: Have 4-6 years of previous experience supporting CEO & C-level executives as an executive assistant, ideally in a remote-first or distributed company.
  • Organizational Skills: Are highly organized, detail-oriented, and capable of managing multiple priorities simultaneously.
  • Communication: Possess strong communication skills, written and verbal, with the ability to interact effectively with senior-level executives, as well as the rest of the organization.
  • Tech Savvy: An expert using Google Workspace apps (especially Google Calendar), Slack, Zoom, Workday, Navan, and are eager to learn new tools and technologies.
  • Discretion: Handle time-sensitive, confidential information with discretion and integrity.
  • Adaptability: Are adaptable and can handle ambiguous situations and frequent change with ease in a fast paced environment.
