Job Description

The System Administrator Manages the company’s business information technology applications to support the Aspen Business Unit.  Works closely with department managers, vendors and software development staff.  Coordinates efforts and acts as a liaison between IT software development, the vendor as well as the end user community to ensure an effective working solution is provided.  

 The System Administrator will setup, manage, administer, and optimize Aspen’s business IT systems, computing equipment, applications, services, policy, and procedures to support Aspen’s office and WFH/remote workforce as well as customer and 3rd party partners. This position will also collaborate and work closely with Aspen’s Information Security Team (IST).

Responsibilities

• Setup, manage, administer, and optimize Aspen’s business IT systems, computing equipment, applications, services, policy, and procedures to support Aspen’s local and remote/WFH workforce as well as customer and 3rd party partners.

• In charge of the provisioning, configuration, inventory, tracking, maintenance, troubleshooting, service/repair, and system support of Aspen’s end user computers (laptops), mobile devices, and secure remote access capabilities for all departments, and their specific computing needs.

• In charge of the administration of Aspen’s company domain accounts for employees, including setup, configuration, password management and all security controls and continuous operation & compliance requirements.

• Manage and support a multitude of local, cloud, and SaaS systems, tools, services, and applications to support business operations, IT project management, QA testing and software development. Responsible for the evaluation, review, selection, installation, or configuration of approved software, as well as ongoing management.

• Serves as a member of Aspen’s Information Security Team (IST).

• Work closely with Aspen’s AWS cloud engineering (DevOps) team to implement and manage connectivity, access or other interfaces or integrations as required.

• Work closely with Aspen’s technical support and help desk team to respond and to resolve ticketed requests as required.

• Analyzes business requirements of all departments to determine back-office technology needs; Documents IT protocols to provide proper communication and training for staffs.

• Examples:

o Office physical security and telework security

o Company directory management and everything Office 365/Intune

o Computer and mobile device setup and management (MDM)

o Communication security such as VPN, SFTP, remote access, and secure emails

o Compliance monitoring, enforcement, reporting and incident responses

o Backup and disaster recovery

o Education, training, and security awareness

o New hire onboarding & employee termination procedures

o Off-hour work arrangement or response to urgent IT system needs expected.

Job Qualifications/Skills

Proven professional track record (6+ years) as IT system administrator who is experienced in cloud based, teleworking environments with focus on security controls. Ideal candidate should have extensive experience and prior leading responsibility in setting up, controlling, and managing company employees via Microsoft Office 365 with its full line of service capabilities.

• Experienced in Microsoft Windows based system administration, including configuration, provisioning, maintenance and troubleshooting of hardware and operating system, and support for business software or online services.

Examples:

o Mobile device support and security management (MDM/BYOD)

o Teleconferencing/Video Conferencing (Teams, Zoom, GoToMeeting)

o Productivity software such as Office application suite and Outlook

o Laptop warranty services, workstation, and wireless/networking setup

o System configuration, performance tuning, updates, patching, troubleshooting, and root- cause analysis

o Anti-virus/End-point protection/Encryption/Removal media controls

o TCP/IP Networking & Security/Firewall/Intrusion detection

o Secure remote access, VPN, SFTP, and wireless connectivity

o Backup and restore, disaster recovery

o Phone system administration and support

o Expert experience with Microsoft Office 365, including Intune and autopilot

o Security administration (users, groups, policies)

o Continuous compliance monitoring, enforcement, and reporting

o End point management of device, apps, and tenant administration

o Microsoft Azure active directory/Entra Group policy/SSO/application access

o Microsoft Exchange administration, Secure email, Mail flow

o Experienced in administering, supporting and empowering business users and technical teams in a Cloud based and hybrid (teleworking and co-work space) environment that require high standard of security controls and compliance.

o Excellent verbal, written, and interpersonal communication skills

o Highly organized, detail oriented and documentation skills

o Ability to work independently and take complete ownership of tasks from start to finish

Education and/or Experience                                            

Bachelor's degree (or related combination of education and experience) along with at least 7-9+ years’ “hands-on” IT work experience with programming, working with databases, project and budget management.

Work Location

This position is a remote position.

Working Hours

This is an exempt level position requiring one to work the hours needed to get the job done.  Therefore one must have the flexibility to work beyond traditional hours and be able to work nights, weekends or on holidays as required.  This may be changed from time to time to meet the needs of the business.  Typical core business hours are Monday through Friday from 8:00am to 5:00pm.

Travel - This position may require occasional domestic travel and attendance at various local conferences and meetings.
