The Role
This Executive Assistant will provide support to an Executive across Arts, Design, and Emerging Technology. The ideal candidate will have a passion for the art world. Additionally, the assistant is willing to immerse themselves, potentially take on larger opportunities as requested, and clearly able to communicate with agents, executives, clients, peers etc.
The Executive Assistant is an integral role that will help to manage the logistics and information flow of the Executive’s life. The ideal candidate is highly organized, detail-oriented, thoughtful, service-minded, proactive and knows how to comport themselves with a broad array of partners, employees, and A-level clients; someone who can significantly contribute to the culture and the success of the team.

Responsibilities:

Manage and organize complex and demanding calendar

Responsible for administrative duties including, but not limited to, handling heavy phones, scheduling travel, preparing presentations, coordinating client meetings, note taking and following up on meeting action items, and preparing expense reports.

Serve as the first point of contact with internal and external stakeholders including clients, agents, architects, artists, and key industry executives

Track and meticulously maintain grids of data and execute excellent follow-up and follow through

Assist with special projects, research, and compiling information as needed

Stay up to date on current events within the entertainment landscape, especially as it relates to Entertainment, Technology, AI, and the Art world.
Qualifications:
-
4+ years of professional administrative or equivalent experience
-
Ability to work well in fast-paced environments; meet tight deadlines; lead multiple projects and expectations; maintain a sharp focus while handling competing priorities; ability to work well under pressure

Attention to detail, strong organization and problem-solving skills are a must

Strong interpersonal and communication skills, both written and verbal, while understanding the importance of maintaining confidentiality

Strong command of the Microsoft Office suite, especially Word, PowerPoint, Excel. Teams and Zoom

Ability to anticipate needs and execute time-sensitive matters

Team oriented and able to communicate and collaborate with employees at all levels

Adept at quickly learning new processes, technology, and ability to assimilate oneself and become familiar with existing systems
Location
This position is based out of the Los Angeles office.
Compensation
The hourly rate for this position is in the range of $35.00 - $40.00 per hour. This position also is eligible for benefits and discretionary bonus. Ultimately, the wage may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
