Description of role:

The Administrator position involves handling general administrative tasks, providing clerical support, assisting the Administrative Specialist and Examination Coordinator, making travel and hotel arrangements, managing phone calls and visitors, assisting with fee collection and petty cash management, preparing purchase orders, backing up exam material preparation, and performing other assigned duties.

  • To handle general administrative task and clerical support
  • Assisting Administrative Specialist and Examination Coordinator
  • Assists in making travel/ hotel arrangements mainly for the lecturers/ invigilators and staff
  • Answer telephone calls, greet and direct visitors to the accurate destinations as well as provide general administrative and clerical support within the department (e.g: signing sheets, results notices, feedback form, delivery of Certificate of Attendance etc)
  • Assist in collection of fee and preparing receipts
  • Getting quotation, preparing Purchase Order, checking DO, update PO files
  • Assist in Paying out petty cash
  • Provide general administrative and clerical support within the department
  • Back-up for preparing & sending exam materials to exam locations.
  • Perform other duties as well when needed.
  • Other tasks as assigned by management from time to time.

Qualification:

Minimum Diploma or Degree holder in Administration or equivalent in any related field

Requirements:

  • Familiar with MS Office, MS Excel, and MS Words with strong spreadsheet skills.
  • Possess excellent interpersonal skills, maturity and flexibility, able to work in a team and independently with a minimum supervision
  • Able to communicate well in English
  • Able to work on standby/on-call.
  • Possess a car, valid driving license and able to travel.
  • Able to work in a high pressurised environment
  • Must be organised with strong attention to detail, have the ability to manage your own workload and to prioritise effectively according to business needs.
