We're looking for a passionate and driven individual to join our dynamic team at Top Notch Remodelers!Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant with notary public certification, permitting experience, and proficiency in Microsoft Excel, Word, and CRM systems. The ideal candidate will provide administrative support, assist with permit applications and processing, notarize documents as needed, and maintain accurate records using various software tools.Key Responsibilities:

  • Perform general administrative duties such as scheduling, data entry, filing, and correspondence.
  • Notarize documents for internal and external parties in accordance with state laws and regulations.
  • Manage and process permit applications, ensuring compliance with local, state, and federal regulations.
  • Track and follow up on permit statuses, coordinating with government agencies and clients as needed.
  • Maintain and update records in CRM software, ensuring data accuracy and completeness.
  • Create, edit, and format documents, spreadsheets, and reports in Microsoft Word and Excel.
  • Provide excellent customer service to clients, vendors, and internal teams.
  • Assist in coordinating meetings, preparing reports, and handling confidential information.

Qualifications & Requirements:

  • Notary Public certification (active and in good standing).
  • Experience with permitting processes (construction, business, or industry-specific preferred).
  • Proficiency in Microsoft Excel, Word, and CRM systems (experience with [specific CRM] is a plus).
  • Strong attention to detail and ability to manage multiple tasks efficiently.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).

Preferred Qualifications:

  • Prior administrative experience in a similar role.
  • Knowledge of local, state, and federal permitting requirements.
  • Customer service or client relations experience.

Salary will be based on experience.
Located on Hillsborough/Tampa Road. Oldsmar Tampa line.
