We are seeking a highly organized and proactive Administrative Assistant to join our team. This fully remote position, based out of Lisboa, Portugal, is exclusively open to citizens of EU countries. Key Responsibilities
- Manage scheduling, calendars, and virtual meetings for team members across multiple time zones
- Handle email correspondence and maintain clear communication with internal and external stakeholders
- Perform data entry, document organization, and updates to internal systems
- Assist with travel arrangements, expense tracking, and basic bookkeeping tasks
- Support project coordination by preparing reports, presentations, and meeting agendas
- Provide general administrative support to ensure seamless remote operations
Requirements
- Citizenship of an EU country (required due to company policy and tax compliance)
- Proven experience as an Administrative Assistant, Virtual Assistant, or similar role (1-2 years preferred)
- Basic knowledge of English (written); proficiency in Portuguese is a plus but not required
- Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and scheduling tools (e.g., Calendly)
- Excellent organizational and time-management skills with the ability to prioritize tasks
- Reliable internet connection and a quiet, professional remote work setup
- Ability to work independently and maintain confidentiality
Preferred Qualifications
- Experience with remote collaboration tools (e.g., Slack, Zoom, Asana, or Trello)
- Familiarity with basic HR or payroll processes
- Background working with international teams
