Job Summary: 

The Administrative Assistant role will be responsible for supporting our Executive team in addition to having receptionist duties and assisting various departments with special projects.  There is a considerable need for customer service skills, professionalism, accommodation, and the ability to successfully blend with all types of personalities. 

 

Essential Functions: 

  • General administrative support for all staff, all departments. 

  • Provide administrative and clerical support to all Executives. 

  • Make travel arrangements and maintain travel files for Executives. 

  • Responsible for Receptionist Duties as outlined in Administrative Manual.  

  • Responsible for compiling expense reports for Executives and Business Services. 

  • Assist offsite personnel, and other departments with tasks and special projects, as requested. 

  • Complete office and kitchen supply orders weekly. 

  • Place all lunch orders for office meetings or in-house events, as needed. 

  • Maintain FedEx | UPS and other courier account login for all users and complete shipping requests for corporate office. 

  • Assist with scanning hardcopies to electronic format and upload to SP, as needed. 

  • Order office supplies, break room, and vending machine supplies. 

  • Stock vending machines and put away supplies when they are delivered. 

  • Manage outbound and incoming courier deliveries/shipments 

  • Maintain office and kitchen areas clean and clutter-free. 

  • Assist in mass mailing projects. 

  • Coordinate with contractors and service providers on service/product request for office (handyman, shredder co, ect.) 

  • Assist with the indexing of the corporate minute books. 

  • Complete all Document Recordings and enter recording information on Document Recording Tracker located on SharePoint. 

  • Assist with real estate research for the development department. 

  • Purchase Order and Invoice data entry via Microsoft D365

 

Qualifications: 

 

  • Bachelor’s degree or equivalent experience 

  • One to Three plus years of experience 

  • Interpersonal and diplomatic skills. 

  • Organizational and planning skills. 

  • Discretion/Confidentiality. 

  • Flexibility in work responsibilities. 

  • Meticulous attention to detail and quality of work product. 

  • Must be professional, personable, approachable, and courteous. 

  • Self-motivated; take initiative and anticipate issues. 

  • Excellent verbal and written communication.  

 

 

Physical Demands: 

  • Position will require sitting for long periods of time. 

  • Occasionally lifting twenty pounds or more.
