Overview

The Purchasing Administrative Assistant will support the purchasing department by performing administrative tasks and ensuring the smooth operation of procurement activities. This role requires excellent organizational skills, attention to detail, and the ability to communicate effectively with suppliers and internal team members.

What you will need

  • High school diploma or equivalent; associate degree or higher preferred. 
  • Previous administrative experience, preferably in a purchasing or procurement environment. 
  • Familiarity with basic accounting and inventory management principles.

How you will make an Impact

  • Assist the Purchasing leaders with daily administrative tasks. 
  • Prepare and maintain purchasing documents, reports, and records. 
  • Organize and schedule meetings, appointments, and department activities. 
  • Manage the purchasing department’s correspondence, including emails, phone calls, and mail. 
  • Keep an updated contact list for Branch Managers and Branch Administrators for each branch location, and update as team changes occur. 
  • Create and close daily transfers for the Buyers team. Assist with transfer entries for new branch openings as needed. 
  • Maintain and monitor all transfer within the system. 
  • Track and manage WSL items across the company, ensuring the system is updated accordingly. 
  • Process and verify the transfer of Marketing items, ensuring accurate system updates. 
  • Facilitate orders and shipments of promotional goods. 
  • Adjust data in Chadwell Supply’s computer systems, including the Compass department page, transfers, ETAs. Including, planned or not planned inventory. 
  • Ensure that all emails sent to the purchasing group are identified by action needed and forward to the appropriate purchasing team member(s).
  • The role is based in a typical office environment. 
  • Must be able to sit for extended periods, climb steps, bend, stoop, and carry products up and down ramps and walkways as needed.
