Summary of Objective:  
                
The Administrative Support role ensures the smooth and efficient operation of the front desk, providing exceptional customer service while managing the flow of visitors, customers, and employees. In addition to front desk duties, you will assist the Executive Coordinator with various administrative tasks and may provide support to the Site VP/GM, Leadership Team, and staff. Responsibilities include communication, scheduling, organizing customer visits, arranging travel, and performing clerical tasks as needed.

     
Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The essential duties and responsibilities include the following but other duties may be assigned.                               
    

  • Provide administrative support to the ELT, Executive Leadership Coordinator, and Site VP/GM, completing a variety of tasks to ensure efficiency.
  • Manage and maintain an active calendar of appointments, schedule meetings, and coordinate complex travel plans, including detailed itineraries and agendas.
  • Prepare and submit expense reports; draft and edit confidential correspondence and business reports as needed.
  • Prioritize and manage multiple tasks and deadlines, ensuring timely and proactive follow-through on projects.
  • Coordinate travel arrangements through Concur, including flight bookings, accommodations, ground transportation, and meeting logistics.
  • Schedule conference rooms for internal meetings and customer visits, ensuring all logistical requirements are met.
  •  Organize catering for meetings, including breakfast, lunch, and/or snacks as needed.
  • Prepare correspondence, business reports, and presentations for the ELT, Executive Coordinator, and Site VP/GM.
  • Oversee document flow, ensuring that all items requiring signature from the ELT, Executive Coordinator, or Site VP/GM are promptly routed and distributed.
  • Order and maintain corporate office supplies, ensuring the office supply closet is stocked and organized.
  • Coordinate the ordering of business cards for the ELT and Executive Coordinator.
  • Assist with special projects as assigned by the Executive Coordinator or other senior leadership.
  • Adhere to all relevant policies and procedures, including PCI, cGMP, and GCP guidelines.
  • Demonstrate consistent attendance and punctuality as an essential function of the position.
  • Perform other duties as assigned by the Manager or Supervisor.

Required:  

  • Associate's Degree in a related field and/or 1-3 years related experience and/or training.  
  • Basic Mathematical Skills  
  • Intermediate Computer Skills: Ability to perform more complex computer tasks and has knowledge of various computer programs.      
  • Full Professional Proficiency: Ability to speak, read, and write fluently and accurately on all levels pertinent to professional needs.   
  • Intermediate Reasoning: Ability to apply common sense understanding to carry out instructions that may be furnished in written, oral, or diagram form.
  • Ability to deal with problems that involve several concrete variables in standardized situations.
