About the Role:
We are seeking an organized, friendly, and detail-oriented Administrative Assistant to support our dynamic team. In this role, you will be the first point of contact for clients, visitors, and employees, ensuring a welcoming and professional office environment. You will also provide critical administrative support to ensure the smooth operation of our office and team.
Key Responsibilities:
- Greet clients, visitors, and team members in a professional and welcoming manner.
- Manage incoming calls, emails, and correspondence, directing them to the appropriate departments.
- Maintain a clean and organized reception area, conference rooms, and common areas.
- Schedule and coordinate meetings, appointments, and events.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Monitor and order office supplies, ensuring adequate inventory levels.
- Handle incoming and outgoing mail and packages.
- Support the team with travel arrangements, expense reporting, and other clerical duties.
- Assist with onboarding activities for new employees, including coordinating materials and workspace setup.
- Collaborate with other departments to support special projects and initiatives as needed.
Qualifications:
- Education: High school diploma or equivalent; associate or bachelor’s degree preferred.
- Experience:
- 2+ years of experience in a receptionist or administrative assistant role.
- Experience in a professional services or technology environment is a plus.
- Skills:
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational skills with strong attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Professional demeanor and appearance.
- Ability to work independently and as part of a team.
Work Environment:
- On-site role based in Lisle, IL, supporting a collaborative and fast-paced professional environment with remote work flexibility on Wednesdays.
