Job Summary:
We are seeking a highly organized and proactive Administrative Assistant. The ideal candidate will be responsible for managing daily administrative tasks, facilitating communication, and ensuring the smooth operation of the technical support and implementation departments. Proficiency in Salesforce and excellent English language skills are essential for this role.
Key Responsibilities:
- Provide comprehensive administrative support , including managing calendars, scheduling meetings, and handling correspondence.
- Prepare and edit documents, presentations, and reports as needed.
- Organize and maintain files, records, and databases.
- Screen and direct phone calls, emails, and other communications.
- Coordinate and facilitate communication between the technical support and implementation teams.
- Schedule and organize meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange travel and accommodation for team members as required.
- Assist in the planning and execution of projects, ensuring deadlines are met and deliverables are completed.
- Track project progress and provide regular updates to the department VP.
- Oversee office supplies and equipment, ensuring they are well-stocked and functioning properly.
- Handle expense reports, budget tracking, and invoice processing.
- Support the onboarding process for new team members, including coordinating orientation schedules.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field preferred.
- 2-3 years of experience as an administrative assistant, preferably supporting senior management in a technical environment.
- Experience in technical support or implementation environments is a plus.
- Proficiency in Salesforce is required.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- High level of discretion and confidentiality.
