Key Responsibilities:
- Calendar management for executives, clients, team members, consultants, etc.
- Ability to organize, schedule and prioritize tasks, appointment and event to optimize time and ensure efficiency.
- Responsible for reception duties, including greeting clients and vendors
- Prepare conference rooms for in-house meetings
- Answer and prioritize phone calls, ensuring seamless communication
- Organize and coordinate team-building events to foster collaboration
- Schedule FedEx/courier services and manage transmittals for outgoing documents
- Cultivate strong working relationships with clients, customers, and consultants
- 2-5 years of office administration or secretarial experience
- Expertise in MS Office Suite (5+ years)
- Tech-savvy with a strong ability to learn new software quickly
- Previous experience in Marketing within the Architecture, Engineering and Construction industry is a plus
- Proven ability to perform well under pressure and meet tight deadlines
- Strong attention to detail and accuracy
- Highly organized and able to manage multiple tasks efficiently
- Must be authorized to work in the United States
