Key Responsibilities:

  • Calendar management for executives, clients, team members, consultants, etc.
  • Ability to organize, schedule and prioritize tasks, appointment and event to optimize time and ensure efficiency. 
  • Responsible for reception duties, including greeting clients and vendors
  • Prepare conference rooms for in-house meetings
  • Answer and prioritize phone calls, ensuring seamless communication
  • Organize and coordinate team-building events to foster collaboration
  • Schedule FedEx/courier services and manage transmittals for outgoing documents
  • Cultivate strong working relationships with clients, customers, and consultants
Qualifications:
  • 2-5 years of office administration or secretarial experience
  • Expertise in MS Office Suite (5+ years)
  • Tech-savvy with a strong ability to learn new software quickly
  • Previous experience in Marketing within the Architecture, Engineering and Construction industry is a plus
  • Proven ability to perform well under pressure and meet tight deadlines
  • Strong attention to detail and accuracy
  • Highly organized and able to manage multiple tasks efficiently
  • Must be authorized to work in the United States
