About the position:
The Administrative Assistant supports the Property Management Department in its daily office routines, schedules meetings, prepares Monthly Financials Agendas, prepares property tour books, prepares, distributes and files the Collections Default Letters, and assists the department head and the SCI Office Property team.
Job Responsibilities:
Daily:
Answer phones to assist callers and relay detailed messages.
Distribute inter-departmental documents.
Process and distribute incoming mail.
Prepare documents using Word, Excel and Adobe.
Review and distribute invoices to managers. Submit and code invoices for the SCI Office Property team.
Handle and directs concerns/questions from tenants.
Maintain files in Teams and file documents in BPC.
Maintain paper archives for property reports (Environmental, PCA).
Process company default letters for execution, distribution and certified receipt.
File certified receipts, Update filing of returned receipts and default letters.
Distribute and file tenant rent checks to the appropriate accountant.
Create and maintain Litigation and Bankruptcy filing system.
Create and maintain SCI procedures filing system.
Coordinate Property Tour schedule and gather attendees.
Prepare Property Tour books.
Keep inventory of office supplies and re-order as needed
Send out Default Letters to Tenants
Prepare Property Tour Books for PM’s, Supervisor and SVP
Prepare Monthly Financial Books for monthly meetings
Update Roof and Parking Lot Surveys for tour books
Schedule travel/hotel arrangements for Property Tours outside DC/MD Metro.
Prepare books for officers for Capital/Major Budget planning.
Keep inventory of office supplies and re-order as needed.
Prepare agenda and materials for PM Team meetings.
Post updates to Procedures file.

Administrative Assistant Experience and Education:
- High School Diploma or equivalent required
- Associates degree preferred

The actual base pay offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held. Base pay is one component of Saul Centers Inc. total compensation package, which also includes access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, bonus plans and more.
