As the Administrative Assistant and Office Manager for our newly established New York office, you will provide dedicated support to up to three senior executives while overseeing the management of office facilities. In this role, you’ll play a key part in building and supporting the foundation of our growing team in this exciting new location. Your contributions will enhance the efficiency of our leadership, and your success will directly impact the overall success of the company.

Responsibilities

  • Executive Support
  • Provide comprehensive administrative assistance to senior executives, including calendar management, meeting coordination, and travel arrangements
  • Manage and prioritize meeting requests, ensuring executives are well-prepared with necessary materials
  • Collaborate with Executive Support staff to ensure seamless coordination across the leadership team
  • Handle communication on behalf of executives in a clear, professional, and timely manner
  • Support other stakeholders and visitors as needed, ensuring confidentiality is maintained
  • Assist with project management, event planning, research, and IT support as required

  • Office Management
  • Provide on-site support Monday through Friday
  • Coordinate office operations, including facilities management, safety inspections, lease administration, and vendor relations
  • Serve as the primary point of contact for on-site employees, candidates, vendors, and visitors
  • Assist in overseeing operating budgets

Requirements

  • 5+ years of experience in Administrative and/or Office Management
  • Proven experience supporting multiple senior executives
  • Excellent organizational and communication skills
  • Ability to manage tasks independently, prioritize effectively, and adapt to changing demands
  • Proficiency in MS Outlook, Word, Excel, and PowerPoint (Atlassian experience is a plus)
  • Flexibility to work on-site Monday through Friday
  • Bachelor’s degree (preferred but not required)
  • Authorization to work in the U.S

  • Ability to lift 15 pounds and sit at a desk for extended periods

The hourly pay rate for this position is $48.08. Based on a standard 40-hour work week, this equates to an annualized salary of approximately $100,000. Individual salaries are determined through a variety of factors, including, but not limited to, education, experience, knowledge, skills, and geography. Base salary does not include other forms of total compensation such as bonus compensation and other benefits. Our benefits package includes medical, dental, and vision coverage, life and AD&D insurance, 20 days of paid time off, 9 sick days, and a 401(k) plan with a company match.
