The Accounts Receivable & Invoicing Specialist is responsible for monitoring and managing accounts and billing as well as following up with any customer or supplier with outstanding payments. The Accounts Receivable & Invoicing Specialist will help process, track, and record payments in an accurate, efficient and timely manner.

Duties/Responsibilities:

  • Gather and verify data needed to initiate invoices in Workday
  • Maintain accounts receivable records to ensure aging is up to date, and credits and collections are applied
  • Obtain primary financial data for accounting records at the request of the VP Accounting Operations and others as needed
  • Assist in monthly close process by ensuring all invoicing has been completed for the period.  This includes maintenance and submission of a monthly A/R checklist
  • Work with customers to resolve billing differences, terms of payment, and any other discrepancies
  • Continuous evaluation of current policies and recommendations for process improvements
  • Manage priorities and meet deadlines including the monthly close timeline
  • Work closely with leadership on accounts receivable aging, and payment disputes/issues
  • Handle sensitive information in a confidential manner
  • Work collaboratively with employees across departments to ensure all invoices are entered and accounted for
  • Work closely with the accounting and finance department
  • Perform other related duties and ad-hoc queries

Required Skills/Abilities:

  • High school diploma or equivalent
  • 2-3 years of experience with collections, invoicing and/or accounts receivable
  • Experience with general accounting software usage
  • Proficient with Excel
  • Strong communication skills, both oral and written

Preferred Skills/Abilities:

  • College degree with focus in Accounting, Finance or related field
  • Experience with Workday

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer, typically in a cubicle environment (constant noise, fluorescent overhead lighting)
