Responsibilities
- AP Administrator
- Receive and record all vendor invoices into NetSuite
- Verify accuracy and obtains approval on all payments
- Enter batch payments into bank for vendor payments
- Ensure payments are made in a timely manner
- Maintain active communication and relationships with vendors
- Track and calculate agent commissions
- Remote deposit of checks
- Payroll
- Process payroll with accuracy, making sure everyone gets paid on time on a bi-weekly basis.
- Work with the finance team to process monthly commissions.
- Work with department managers to approve and process bonus payouts (quarterly).
- Prepare and pay payroll for international teams in Asia and France.
- Other Responsibilities:
- Assist with various calls and emails.
- As needed, schedule and coordinate meetings, travel, and other group activities.
- Manage expense reporting in Navan
- Manage the Burlington, Vermont office (order supplies, manage maintenance issues, arrange visitor access with landlord)
- Assist with Quarterly Check Reconciliation of Bill Pay checks for the Finance Team
- Order all checks for Bill Pay team as required

- Detail-Oriented: Attention to detail and accuracy are required.
- Communication Skills: You’ve got a knack for explaining things.
- Tech Savvy: You know your way around accounting software, payroll systems, and, of course, email and calendars.
- Organizational Wizard: You love keeping things in order and can prioritize tasks like a pro.
- Finance Related Background: Previous experience in accounts payable is required. Payroll processing and NetSuite experience preferred.
