Job purpose
The Account Receivable Specialist is responsible for managing the company's accounts receivable processes, with a focus on collections, credit management, and maintaining positive customer relationships. This role ensures effective collections and monitors Days Sales Outstanding (DSO) while enforcing compliance with the company's credit policy. The analyst will work closely with the sales team and customer service representatives to resolve payment issues and support the organization's financial health.
Duties and responsibilities
- Execute the collection process to ensure timely collection of past-due receivables, guided by reports and system prompts for assigned customers.
- Record customer payments in the system and manage the deposit process for payments received by check.
- Monitor Days Sales Outstanding (DSO) to enhance cash flow and reduce outstanding receivables.
- Act as a guardian of the credit policy, ensuring compliance and consistency in credit management practices.
- Assess customer creditworthiness by reviewing credit reports, financial data, business references, and payment history.
- Authorize order releases for customers, ensuring assigned accounts comply with established credit terms.
- Place customers on credit hold when necessary, and monitor or release held orders as appropriate.
- Initiate corrective actions as needed, collaborating closely with Customer Service, Sales, Deductions, Invoicing, and other departments.
- Collaborate with the sales team and customer service representatives to provide visibility into payment issues and foster effective communication.
- Foster strong relationships with commercial teams to positively influence and achieve collection goals.
- Maintain up-to-date credit files with relevant information, ensuring that concise and accurate collection and credit notes are recorded in the system.
- Oversee accountability for Payment in Advance Discounts, ensuring that all processes are transparent and well-documented.
- Generate weekly and monthly reports on the status of accounts receivable, Days Sales Outstanding (DSO), and working capital.
- Present the status of accounts receivable and working capital during S&OP meetings, offering insights and updates.
- Reconcile accounts to ensure accuracy and promptly resolve any discrepancies that arise.
- Support internal and external audits by providing all required information and documentation related to accounts receivable processes.
- Regularly review credit limits and recommend adjustments based on customer behavior and creditworthiness.
- Participate in special projects assigned by management, contributing to the overall objectives of the finance department.
Qualifications
- Bachelor's degree in finance, Accounting, Business Administration, or a related field.
- Nice to have, MBA College degree in Finance or Accounting coursework.
- Experience in accounts receivable, credit management, or finance is preferred.
- Proficiency in accounting software and ERP systems (experience with One Stream is a plus).
- Proficiency in SAP, Power BI and Microsoft Office.
- Strong analytical skills and attention to detail.
- Excellent written and verbal communication skills for effective interaction with customers and internal teams.
- Strong interpersonal skills for building relationships across departments and with external partners.
- Ability to work independently and manage multiple tasks in a fast-paced environment.
