The Account Analyst (Analyst) will liaise with departments such as Financial Aid, Financial Systems Management, University Accounting, Veteran Student Services, Admissions, Academic Advising, ERNIE Central, Office of the Registrar, Housing & Residence Life, Dining Services, Athletics, Campus Safety & Security, Campus Bookstores, Flight Department, Office of Global Engagement, Health Services, SGA, Student Affairs, International Student Services, Human Resources and the Provost Office to ensure the highest level of customer service is provided to our students while maintaining compliance in accordance with established accounting practices, U.S. Department of Education and other regulatory agencies.

The Analyst is responsible for the analytical auditing, reconciling and collection of student accounts to minimize University losses. The Analyst must have an in-depth knowledge and understanding of a student’s life cycle. This includes the application and registration process, student refunds, payment deadline policy, awarding guidelines for Financial Aid, payment plans, cancellation policy and procedure. The incumbent must also be well versed with third-party sponsorships and billing, including but not limited to, VA chapters 30, 31, 33, and 35, military branches and other third-party sponsors. The Analyst will provide input to applicable departmental University policies and procedures.

The Analyst will be responsible for running and analyzing various reports in Campus Solutions including monthly aging, XCUR, credit balance and other miscellaneous reports. This person must be detailed orientated with the ability to identify anomalies in student billings, payments, and other student related processes. The incumbent must be able to take corrective action and administer appropriate solutions independently. The Analyst will ensure all collection efforts in accordance with University policy and procedures are completed prior to being turned over to University Collections. The Analyst will also be responsible for auditing student accounts who have applied for graduation to ensure all financial obligations have been met prior to the release of transcripts and/or diplomas. The Analyst will be expected to work overtime during high volume times within each term to ensure the University is maintaining the highest level of customer service possible.

The Analyst is responsible for the input of Tuition Assistance (TA) documents from Workflow into the Intended Payment Method (IPM) screen in accordance with the eligibility of the student’s enrollment for applicable Academic Term. The Analyst will apply any applicable third-party contracts to student accounts in accordance with eligibility based off the TA document.

The Analyst requires an in-depth knowledge of the Payment Plan module in TouchNet to include plan options, provide customer service on how to enroll, and identify anomalies within the plan.

It is required that the Analyst must have a thorough understanding and knowledge of state and federal regulations, University Administrative Policy/Procedures (APPM) and the Worldwide Policies and Operations Manual (POM) to ensure compliance within each area.

Proficiency is desired in Campus Solutions, TouchNet, Salesforce, SharePoint, Oracle Imaging and Workflow, Workday, Educational and Training Administration (ETA) system, Flight Ops, Atrium, and Microsoft suite applications.

Duties:

  • Monthly Aging Report – Run report to audit, identify and verify student debt. Outreach to the student and or applicable department regarding outstanding balances.
  • Ensure all appropriate processes are completed prior to coding the account to go to University Collections.
  • Term Based XCUR – This report is run to identify and audit term balances before and during each current term. This report is used to assist the Analyst with collections efforts.
  • Review Tuition Assistance (TA) documents for accuracy and input into Intended Payment Method (IPM) screen accordingly.
  • Credit Balance Report – This report is run bi-weekly to identify over payments and excess credits on student accounts. Once the credit balances are confirmed the Analyst will proceed with refunding.
  • SFH/SFX Audit - Retrieve, sort, and classify any batch created SFH/SFX financial hold indicators on student accounts bi-weekly.
  • IPM Report - Run, and audit IPM data for course and type accuracy on student accounts that are receieving TA benefits.
  • Provide financial counseling, payment options and support to students and parents via email, phone, Salesforce Cases, Microsoft TEAMS, ZOOM, and in-person.
  • Provide internal support to various departments including, but not limited to, Financial Aid, Financial Systems Management, University Accounting, Veteran Student Services, Admissions, Academic Advising, ERNIE Central, Office of the Registrar, Housing & Residence Life, Dining Services, Athletics, Campus Safety & Security, Campus Bookstores, Flight Department, Office of Global Engagement, Health Services, SGA, Student Affairs, International Student Services, Human Resources and the Provost Office.
  • Post and adjust miscellaneous charges to include, but not limited to, parking and library fines, ramp badge and flight charges.
  • Determine eligibility of refunds, advances and/or increases for the following: Eagle Card, Study Abroad, book advances, and Flight Ops.
  • Provide miscellaneous requests to students such as employee reimbursement statements.
  • Any other duties assigned by the Executive Director, Director, and Assistant Director of Student Financial Services.

Qualifications

Required:

  • Associate's degree or completion of program of 18+ months after high school.
  • 3-5 years of work related experience in Accounting/Finance
  • Proficiency using Microsoft Office Suite with strong skills in Excel
  • Demonstrated self-starter, with strong analytic, problem solving, and critical thinking skills
  • Excellent customer service orientation, communication skills (both verbal and written), interpersonal and organizational skills
  • Ability to work well with diverse internal and external constituents in a team-oriented environment
  • Willingness to share knowledge and information and to learn new tasks
  • Coordinate and maintain multiple tasks simultaneously as well as deliver responses and results within established time frames
  • Demonstrate openness and responsiveness to new ideas and change
  • Project and establish a standard reflecting a professional image through dress, demeanor and office environment
