Job Objective:
We are seeking a dedicated and detail-oriented Logistics Coordinator to manage daily operations related to hauling, scheduling, and volume tracking. The ideal candidate will be responsible for ensuring the efficient and accurate coordination of hauler, producer, and lease information, managing daily load schedules, and optimizing operational workflows. This role requires close collaboration with haulers, producers, and internal teams to ensure smooth operations, accurate reporting, and timely completion of all logistics tasks.

Essential Job Responsibilities:

Daily Schedule Management:

  • Update and maintain the daily schedule sheet.
  • Add new loads, leases, and tanks, including updating producer information, offload stations, and related details.
  • Ensure all leases in Paks are also reflected in the schedule sheet.
  • Rearrange loads based on assigned haulers and ensure proper formatting.
  • Review and confirm the accuracy of load requests from producers and communicate them to haulers, ensuring correct order of lease names, offload stations, and tanks.
  • Cross-reference scheduled loads against actual pickups and make necessary adjustments.
  • Monitor and adjust the number of auto hauls based on well production rates.
  • Ensure the daily schedule sheet is updated to reflect the current month.
  • Enter and update all requested loads into Pak, ensuring accuracy in the criteria.

Daily Ticket Management:

  • Import and process daily tickets from haulers.
  • Monitor the daily load count and compare it to the scheduled loads.
  • Update files to reflect the current month.
  • Resolve discrepancies in the tickets (e.g., station names, missing information, incorrect lease details).
  • Verify ticket data aligns with the information in Paks and the scheduling sheet.
  • Track volumes coming into stations and use data to make operational decisions.
  • Identify discrepancies or patterns related to potential losses and report findings to senior team members.

Hauler Coordination:

  • Communicate daily with haulers and Producers to share necessary load and lease information.
  • Provide updates on day-to-day activity, such as station issues, extra load pickups, and driver concerns.
  • Monitor hauler schedules (ETAs, load counts) and ensure all assigned loads are completed.
  • Assist haulers in finding additional loads if they have extra capacity.
  • Address hauler concerns and issues promptly, ensuring smooth operations.
  • Confirm hauler load books match scheduled loads to avoid sending unnecessary confirmations.
  • Collaborate to resolve issues in high-pressure situations to prevent lease shut-ins.
  • Build strong relationships with haulers to maintain effective partnerships.

General Administrative and Operational Support:

  • Regularly review emails for relevant information and prioritize tasks accordingly.
  • Ensure efficient day-to-day operations, aiming to maximize profits and minimize losses.
  • Handle operations during leadership absence (e.g., Rob’s out-of-town or weekend work).
  • Coordinate with the pipeline for necessary offload station information.
  • Create and update maps for leases and stations using Google Earth.
  • Conduct field visits when necessary.
  • Take on additional duties as assigned, such as covering for team members or assisting with special projects.
  • Make decisions quickly and effectively in high-pressure situations to keep operations on track.
  • Assist in training and supporting new contractors or team members, ensuring they understand processes and systems.

Other Job Responsibilities:

  • Take initiative to improve operations by creating helpful tools, spreadsheets, and systems.
  • Volunteer for additional responsibilities to contribute to team success.
  • Make proactive decisions to address day-to-day issues and maintain smooth operations.

Qualifications:

  • Minimum of 1-2 years in a similar role.
  • Familiarity with crude oil operations, truck operations, and lease purchase agreements is a plus.
    • Experience at Harvest Midstream preferred
  • Proven experience in data analysis, reconciliation, or accounting roles.

Education Requirements:

  • Preferred: Bachelor’s degree in business, Finance or related discipline
